Office Specialist


Job Description

This position will work closely with the scholarship program manager for the First Things First College Scholarship project while assisting with the new CDA Pathway initiative. This position will assist CDA Pathway recipients with accessing courses, setting up and using new technology and document submission. In addition, they will work with the scholarship team on filing applicant digitized paperwork and answering questions that come in over the phone and email.

This position is funded in whole or part by sources other than general operating appropriation, i.e. grant funding, it may terminate when that funding is no longer available. This is a full time position but will end on June 30, 2024.

Essential Duties

  • Assist the Registry Admin Home Program Manager with scholar approvals, technical assistance, creating files and scholar customer service.
  • Answer phones and emails in a timely and responsive manner.
  • Provide assistance with the Arizona Early Childhood Workforce Registry and CDA Pathway initiative.
  • Provide data entry into the Registry.
  • Use effective verbal and written communication skills.
  • Assist project managers in meeting various grant deliverables.

Minimum Qualifications

Three (3) years of office/clerical experience, which includes one (1) year in a directly related function; OR,Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience in using web based systems.
  • Experience with customer support.
  • Comfort with tech/computer set-up.
  • Experience with the early childhood profession.
  • Evidence of being fluent in English and Spanish.

Working Environment

  • Our office is located at the downtown campus of Arizona State University in the Cronkite Building.
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse
  • Required to stand for varying lengths of time.
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
  • Clearly communicate to perform essential functions.
  • Drive ASU vehicle to and from events. 
  • Lift and carry up to 25 lbs.
