As a Senior Administrative Support Specialist in the Mewbourne College of Earth and Energy, the primary responsibility is to serve as office manager and be the face of Student Services for all that come into the office.  By fielding phone calls and all walk ins, this position assists with funneling all requests and needs of students, staff, and faculty to the correct staff members in the Student Services unit.

Essential Duties:

  • Receives, screens and responds to student, staff and faculty inquiries both verbally and in writing
  • Checks in students for appointments on iadvise.ou.edu and walk ins
  • Assist with maintaining student files and documents
  • Listens to students needs and concerns prior to meeting with an advisor
  • Assist int the implementation of policies and procedures
  • Prepares various reports and makes copies and assembles materials.
  • Coordinates purchases for the office and orders supplies
  • Assists with events and planning - Finals Week Fuel, Back-to-School lunch, Commencement, etc.
  • Assists in the data gathering and creation of college wide reports
  • Checks and sends campus mail
  • Participates in related internal committees and meetings as required
  • Supports recruitments events and assists with travel arrangements
  • Other duties as assigned.

 

Job Requirements

Required Education: High School Diploma or GED, AND:

  •   24 months office, clerical, or administrative experience.

Skills:

  • Knowledge of office procedures
  • General office and customer service skills
  • Knowledge of Microsoft Office Suite (Outlook, Excel, and Word)
  • Excellent interpersonal skills
  • Ability to work independently and as a team player
  • Ability to complete tasks in an efficient and timely manner
  • Must be detail oriented for accuracy of data and information
  • Ability to multitask, be organized, and self-motivated
  • Ability to work in stressful situations
  • Ability to communicate verbally and in writing
