General Description / Primary Purpose
Manage and supervise all office operations and assigned support staff within the Physics Department.

Essential Duties


Job Function
The duties of this position include, but are not limited to, supporting the department chair, faculty, and staff; acting as office receptionist – routing incoming mail, telephone calls and visitors; monitoring Chair’s calendar and arranging for department meetings; maintaining personnel files, instructing department staff on personnel procedures, processing personnel paperwork for OPS, A&P, full-time and visiting faculty, including processing for hiring, faculty contracts, and evaluations; assisting with the management and monitoring of departmental budgets; facilitating departmental scholarships for students; assisting with the compilation of data for and preparation of reports as required for the Department, College and Division; complying with College/Division deadlines; monitoring travel expenditures for the Department, including preparation of travel requests, reservations for lodging and transportation, registrations for conferences, preparation of reimbursement vouchers, and acquisition of the required approvals, for both domestic and international travel; p-card coding and direct pays; managing course syllabi, faculty alpha lists, and assisting faculty with faculty activity reports; ordering and maintaining the inventory of office supplies; compiling and submitting textbook orders; assisting students with the registration process; processing key requests and campus room reservations; and supervision of part-time, non-budgeted office employee[s]. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.
