General Description / Primary Purpose
The CCJ Office Manager position is responsible for managing all activities associated with the administrative function of the Department of Criminology & Criminal Justice. The Office Manager provides administrative support to the Chairperson, faculty, and adjunct professors. Creates and instills a positive work ethic and environment to enhance the overall well-being of students, faculty, and staff. The CCJ Office Manager will maintain and monitor all the departmental monetary accounts. The Office Manager initiates and processes all paperwork concerning employment, purchasing, travel, and more. The Office Manager will attend regularly scheduled professional development workshops and seminars to keep up with information, changes, and updates concerning operating the Department of Criminology & Criminal Justice.

Essential Duties


Job Function
Prepares personnel contracts for part time faculty, responsible for payroll processing and
PA preparation for department, monitors timecards for all staff. Provides support for all faculty with the department. This includes providing customer service for students and staff. Provides the day-to-day supervision of the student employees; monitors work and trains them in the performance of their functions, provides evaluation information. Coordinates travel for the department from Travel Requests through liquidation of travel taken as well as monitoring and reconciling travel budget. Maintains records and data on academic schedules and course offerings. Prepares work orders for the department, composes and prepares general correspondence for the department. Provides tracking and monitors deadline for faculty to respond to action items. Prepares Faculty Activity Reports (FAR) and provides consolidated information to the Dean’s Office. Tracks, monitors, verifies and reconciles departmental budget, signs for routine spending. These include monthly departmental, OPS, TSI, Faculty Development, and copy charges. Maintain confidential personnel files for faculty and staff. Codes and reconciles all department affiliated University Procurement Cards.

High school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preference given to applicants who meet the required qualifications and also possess the following:
Knowledge of university policies and procedures, personal computer skills using Word, Excel, Banner, Outlook, Concur, and OASys only to name a few. Ability to write, think and act in an independent and responsible manner. Ability to coordinate and supervise multiple activities. Ability to be courteous with students, faculty, staff, callers, and visitors. The position requires confidentiality, initiative, organizational skills, reliability, patience, flexibility, and the ability to work independently, yet in cooperation with the Chairperson, faculty, staff, students, and the public at large.
