Position Overview

The KU School of Engineering is seeking an Office Manager to oversee the front office of the Engineering Student Success (ESS) office suite in 1415 LEEP2.  The Office Manager will ensure positive customer service interactions with current and prospective students, faculty, and staff, providing and/or overseeing reception activities for the office suite.  The position is responsible for hiring, training and supervising part-time student staff members throughout the course of the year; course and room scheduling; ordering office and other supplies for the suite; and miscellaneous office duties including mailings, handling incoming and outgoing mail; and other duties as assigned by the Assistant Dean.  The Office Manager will also assist the Associate Dean for Academic Affairs with projects, such as accreditation preparations, and administrative functions as necessary.


Job Description

70%- Office Duties

  • Serve as the primary initial contact for visitors to the ESS office suite; ensure that the reception area is  professional, welcoming, and inclusive to all.
  • Hire, train, and supervise student office workers to support ESS administrative duties.
  • Oversee daily operations, including the maintenance of office equipment in the suite and workroom.
  • Serve as the Scheduling Officer (SO) for the School of Engineering complex. The SO manages room reservations for classes, events, student organizations, etc.
  • Oversee and facilitate purchasing for the ESS Suite including office supplies and kitchen staples.
  • Management of the AV equipment in the ESS conference room.
  • Manage ESS correspondence and communication, to include:
    • Sort incoming mail to the suite and responsible for the distribution of outgoing mail to Engineering units, campus offices, and external destinations. 
    • Assist in the preparation of outgoing correspondence, including large mailing projects. 
    • Monitor ESS Email accounts and utilizes SoE distribution lists as necessary.
    • Answer incoming calls to the ESS.
    • Manage the student workers assisting with duties listed above.
20%- Assist the Associate Dean for Academic Affairs
  • Assist with Accreditation Board for Engineering and Technology (ABET) and American Society for Engineering Education (ASEE) resource and information collection, documentation, and preparation for programs accreditations and surveys.
  • Coordinate meetings and events for the Associate Dean.
  • Photocopy/Scan and make available academic and administrative information for the Associate Dean.
  • Attend Engineering Student Success directors’ and staff meetings and take detailed minutes.
  • Other administrative duties as assigned, via the Assistant Dean.
10% - Other
  • Other administrative duties as assigned by the Assistant Dean.

Position Requirements

This position is located on-site at the Lawrence, KS Campus. 


Required Qualifications

  • High School Diploma or GED equivalency and two years of office experience.
  • Experience with Microsoft Office products, including Excel, Word and Outlook.
  • Written and verbal communication skills, organizational, and interpersonal skills as evidenced by application materials and interview.

  • Preferred Qualifications

  • Bachelor's degree or 3 years of administrative support work experience.
  • Prior work experience with university systems.
  • Experience with room scheduling software (e.g., 25Live).
  • Knowledge of university policies and procedures.
  • Advanced level skills in the use of Microsoft Office products, including Excel, Word and Outlook.
  • Self-motivated, reliable, friendly and able to work diligently in a busy office environment.
  • Supervisory experience.
  • Demonstrated ability to analyze and interpret complex information.
