About the Opportunity

Summary:

The Office Manager will provide diversified professional administrative support to the Division of Student Life. This position supports the operational function of a busy and essential office. This requires a professional manner in all communications (telephone, e-mail, written correspondence) and in-person contact. Under direction, this individual will oversee a variety of administrative projects, manage and delegate work to other administrative coordinators in the division and student workers; communicate on substantive matters with internal and external constituencies including senior university administrators, faculty, staff, students, parents and external stakeholders; design and produce reports and presentations, schedule and coordinate meetings, general travel and conferences. Specifically, they will:

  • Manage and fulfill a comprehensive range of administrative and substantive duties to ensure overall efficiency of daily operations.
  • Be a key manager and strategic decision maker for all tasks surrounding the office in collaboration with the Executive Assistant for the Vice Chancellor for Student Life.
  • Manage, inspire and motivate a team of student workers and volunteers (where needed) to implement the Student Life agenda and events and build their paraprofessional skills for career readiness.
  • Manage calendars for the Division of Student Life and Communication of events to students and stakeholders.
  • Provide support with the financial duties of the division as needed.
  • Manage and assemble meeting preparation materials and make all arrangements as needed for meetings and events, including travel, set-up, hospitality and support.
  • Manage and provide administrative support for various committees; prepare agendas, meeting notes, spreadsheets and reports.

Qualifications:

Bachelor's degree and 1-3 years of administrative experience required. Prior supervisory experience preferred. Must be detail-oriented, able to perform a variety of tasks, able to work with confidential information and prioritize tasks and demands. Have 1-3 years of experience working with budgets and other financial materials. Experience leading, training and mentoring students and student workers is important. Must be able to work and make decisions independently, to exercise discretion and good judgment in areas of responsibility. Must be able to communicate professionally and effectively with people at all levels of the organization as well as with external constituents. Proficiency in Microsoft Office Suite—especially Excel, Word, PowerPoint and Outlook, Teams—and high level of comfort working with technology are musts. This office is extremely busy and requires an individual with proven experiences in handling confidential materials, multi-tasking, and handling sensitive situations in a calm, thoughtful and professional manner. Have strong leadership, management, and decision-making skills. Strong proofreading, attention to detail and follow through skills are essential as well as flexibility, creative problem-solving, a positive attitude and the ability to work efficiently in a busy environment while handling multiple priorities are requirements of this job. Must be able to manage deadlines, delegate tasks to other administrative coordinators, temporary, and student workers, to work independently and to function as a solid team member. A successful candidate will be comfortable taking initiative, a good leader, but also knows when to ask for help.

The annualized salary is $72,477.
