Position Summary and Duties
The office manager position is responsible for overall front office activities, including the reception area, mail, large purchasing requests and facilities. Also responsible for directing and coordinating office services and related activities, including developing and supervising programs for the maximum utilization of services and equipment.
Coordinate and manage the Student Health Insurance Program including conducting annual and semi-annual open enrollment, working directly with students and parents answering questions regarding benefits, enrollment and assisting them with necessary paperwork. Generates reports, data entry of information and maintains health insurance website. Primary liason between Loyola’s insurance broker and Student Health Services.
Prepare reports and documents as directed for quality assurance within Student Health Services. Manages departmental budget, approves invoices, handles malpractice premiums for clinical staff, manages phone system, enhances electronic medical records, organizes special events/projects. Maintains confidential client records. Handles direct phone and email correspondence from studentsand parents, assist with immunization tracking, recording, and maintaining reports of compliance. Prepare department correspondence, reports, documents, research, and statistical summaries.
Coordinate overall administrative activities for the department. Oversee the work and balance the workload for the office staff within the office; ensure equitable division of work and coverage during team member absences. Coach and mentor office staff as needed to ensure good customer service and adherence to quality standards, deadlines, and procedures. Assist in guiding office staff in handling difficult or complex problems and in resolving escalated complaints or disputes. Provide input to supervisors and employees on job performance or other issues affecting the office work flow and assist in resolving problems. Brief supervisors on outstanding work and escalate unusual issues to supervisors as needed for support or intervention. Train and instruct employees on job duties and company policies, and arrange for training to be provided.
Revise and develop office policies and procedures, and ensure they are implemented appropriately. Identify opportunities for process and office management improvements, and design and implement new systems. Assist with office layout planning, and with managing and maintaining IT needs (with Office of Information Technology). Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.
Required Qualifications
  • Bachelor’s degree in business administration, communications, or a related field
  • 2-5 years of work experience in an administrative or office management role
  • Must have exceptional attention to detail
  • Strong organizational and time management skills, and ability to priotitize
  • Must be a self-starter and driven
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Must be proficient with Microsoft Office Suite; particularly Excel, Teams, Forms

Preferred Qualifications
Experience in healthcare office with electonic medical record systems and medical vocabulary.
