What We Are Looking For

The Office Manager serves in Baylor's department of Health, Human Performance and Recreation within the University's Robbins College of Health and Human Sciences and reports to the Assistant to the Chair. This position will be responsible for handling all class scheduling duties, will serve as the first point of contact for the department, and supervise student workers. The Office Manager coordinates logistics for departmental events and maintains an inventory of office supplies. 

A High School diploma, three years of relevant work experience (previous administrative experience), and an active Christian faith are required.  An Associate's or Bachelor's degree and previous class scheduling experience are preferred.

Applicants must be currently authorized to work in the United States on a full-time basis.

What You Will Do

  • Class scheduling including scheduling all classes taught by HHPR instructors, issuing permits, handling equivalent course requests, transfer equivalencies, degree audit petitions, grade change forms. 
  • Check for accuracy the shared Outlook MMGYM Room calendars that SLC student events coordinator inputs after room scheduling is complete. Send any room changes to her also.
  • Create a grid of classes/locations for easy reference after room scheduling is complete.
  • Serve as first point of contact for students and visitors, supervise front office student workers and cover student worker duties when they are not available  - includes answering main phone line, checking/delivering mail, checking the HHPR drop box, OSO delivery box, maintaining copiers, restock office supplies, etc.
  • Coordinate with Program Directors and visit experience group for campus meetings for prospective students' families.
  • Process Insufficient and Prerequisite student class requirements at the end of each semester as well as compile adjunct teacher evaluations.
  • Monitor and maintain inventory of HHPR Office supplies and search/order publicity give away items.
  • Coordinate Bookstore Textbook Adoptions, online ordering for desk copies for instructors.
  • Plan and coordinate logistics for departmental events - includes room reservations, submitting catering orders/shopping, requesting tables/equipment, and creating/sending invitations.
  • Send graduate student presentation email invitation and reserve room.
  • Review website and send departmental updates to Robbins College Marketing.
  • Create/find and upload content out to HHPR social media sites (currently Facebook, Instagram) preferably weekly.  Student workers can assist with this. 
  • Serve as Editor for all HHPR mass communications (newsletters, emails, promotional marketing).
  • Coordinate doctoral student preliminary exams  - schedule room, compile provided exam questions and assign correct technology.
  • Assist with correspondence and maintain calendar and appointments.
  • Maintain records and handle data entry. 
  • Develop and implement office policies and procedures 
  • Collaborate with department staff on management and planning of events 
  • Maintain confidentiality of records and other pertinent information 
  • Serve as a reference on interpretation or clarification of procedures and processes 
  • Develop and maintain working knowledge of applicable University tools and systems
  • Provide budget assistance as needed 
  • Assist and manage special projects and initiatives 
  • Interface with students, faculty, administration and visitors to support Baylor's mission
  • Perform all other duties as assigned to support Baylor's mission 
  • Ability to comply with University policies
  • Maintain regular and punctual attendance
