This is a new position that will focus primarily on managing the general office and purchasing in the Department of Communication Sciences & Disorders.  In addition, this individual will support the expanding continuing education and outreach programs being developed in the Department of Communication Science and Disorders. The position will report to the department administrator.  The ideal candidate will provide quality customer service and have a strong desire for teamwork.  The ideal candidate has a passion for learning new things, a dedication to accuracy, and an interest in improving processes for the department. 
 



Job Summary

Oversees administrative operations, facilitates and schedules projects, serves as liaison between internal and external stakeholders, recommends organizational changes to increase effectiveness, and resolves issues. Assists with strategic plans and budgetary functions.


Essential Functions 

•    The individual is responsible for the overall management of the office and day-to-day operations.  Duties will include greeting the school’s community and visitors and general office support such as mail distribution, photocopying, distribution of clinical education materials, etc.
•    The incumbent works with minimal supervision for executive and administrative functions and ensures the office runs efficiently and effectively, making suggestions for improvements.
•    The individual is responsible for general supply ordering, processing reimbursements, and paperwork for various service agreements including general support for grant purchasing.
•    The person will provide administrative support to faculty and some senior staff, including preparing materials for meetings and preparing documents/collection and analysis of information.
•    This position will support continuing education by: 1) monitoring continuing education activities and timelines, 2) preparing and submitting course proposals to national organizations, 3) developing and working with spreadsheets of participant data, 4) submitting participant activity log information to national organizations and following through on any queries, 5) organizing files in a database, 5) auditing the database, 7) generating certificates of participation as needed, 8)  interacting with participants who may have questions related to their participation records, 9) attending any training related to continuing education reporting at the institutional or through national organizations
•    This individual will work directly with the Vice Chair of Operations and Outreach to support day-to-day operations, future operations, and programmatic development related to outreach. 


Physical Effort 

Light: Little physical effort is required. Duties are primarily sedentary on a daily basis, but individual may be required to travel to other floors of our building and other buildings on campus, as needed.  May be required to move objects up to 20 pounds occasionally.
