Office Manager

Manages all aspects of daily operations, performs mid-level strategic sourcing responsibilities for inner-office purchases and oversees critical design, analysis and reporting of all key organizational performance metrics. Trusted to coordinate specialized senior staff level paraprofessional support and handles a wide range of executive related tasks with the ability to do so under little or no supervision. Must be extremely well organized, flexible, insightful, and enjoy the administrative challenges of supporting an organization of diverse responsibilities and programs. Requires seasoned, independent performance, analysis and judgment coupled with extensive event planning and management prowess. Program development, shared vision, and strategic development experience are necessary. Must exhibit a high level of competency, excitement, and emotional intelligence. This position is a contributing member of the department leadership council and the vision and direction team.

What you'll do in this position: 

  • Works closely with senior management to coordinate and launch major initiatives.
  • Manages, balances, and directs the office timekeeping function and ensures accuracy and accountability
  • Facilitating and coordinating special activities and meetings.
  • Trains and motivates office personnel on a variety of initiatives.
  • Coordinates analysis and preparing presentation materials for professionals.
  • Responsible for department Y-Time training
  • Assist the Director of Executive Services with travel-related functions specifically associated with football travel.

What qualifies you for this role:

Required

  • A firm commitment to the mission of BYU. 
  • Bachelor's degree in a related field of study, or the equivalent combination of experience and training.
  • Proven proficiency in office and executive support functions, key relationship management and working confidentially in administrative/executive functions.
  • Advanced personal computer skills and demonstrated advanced proficiency with MS Office, Word, Excel, PowerPoint, Outlook, graphic design and web and database applications.
  • Expert level of written and verbal communication skills, strong decision-making ability, and attention to detail. Interacts with employees at all levels in the organization to collect or disseminate complex and detailed information.

Preferred

  • 5 years of experience supporting at the executive level.
  • Ability to develop thorough and detailed knowledge of departmental procedures sufficient to lead organizational initiatives and insure accountability.
  • Experience in scheduling travel arrangements for management.
  • Working knowledge of Purchasing, Travel, Supply management and strategic sourcing.
  • Excellent management skills, including the coordination of complex executive meetings.
