Coordinate work flow of support staff within the School.
Prepare Adjunct Faculty contracts, Program Chairs overload contracts, and semester loading forms.
Prepare new hire information & other records/ documents pertaining to their employment, maintaining confidentiality in all matters.
Assist in the development, and maintenance of all schools' printed materials. Materials include, but are not limited to: semester schedules, newsletter, regional catalog, regional website, and program brochures. Make travel arrangements including flight, over night accommodations, and rental car reservations, complete travel requests, as well as vouchers for travel reimbursement. Maintain school office records and update when changes are needed.
Coordinate school correspondence, meetings, and receptions between the School Dean and staff/faculty of the school, as well as outside contacts. Prepare meeting materials for the School Dean. Back-up, or coordinate coverage in the event that school staff are absent.
Verify purchase requisitions against monthly budget reports for accuracy, and develop financial reports as directed by the School Dean. Assist in the management and tracking of the school's budget.
Assist in the preparation of grant development and reports. Assist in the coordination of equipment donations to various education institutions, as well as those donated to the school. Maintain donation records, process and distribute appropriate paper work.
Maintain the School's room key inventory and distribution. Assist in maintaining master calendar for the school employees. Assist in the coordination of scheduling of school meetings. Maintain the School Dean's calendar.
Schedule or coordinate the scheduling of student appointments with the student's Program Chair or the Registration Assistant.
Develop training materials for staff and faculty as required, and maintain record of professional development. Work with other areas of the college in support of college goals.
Conduct all activities with an appreciation and respect for diversity of people, styles, and views. Promote same as an integral part of one's work. Perform other duties as deemed appropriate by School Dean.
