Position Summary:       

The Office Coordinator will support the Office of the Registrar with overseeing the daily administrative activities of the office.

Position Responsibilities:

  • Coordinate the daily operations of the Registrar’s office including the coordination and execution of duties of support staff; prioritize, distribute, and review work of the support staff, including:
    • Processing all forms through our student information system. This includes but is not limited to, registration forms; changes of major; grade changes; leaves of absence and withdrawals; name changes.
    • Answering phones, provide basic information with screening and routing of calls.
    • Assisting with all in-person inquiries.
    • Responding to emails in the shared campus registrar inbox as well as personal inbox in a timely fashion.
    • Maintaining student records in our student information system and student transcripts.
    • Processing incoming transcripts and perform credit evaluations.
    • Scanning documents and student files to our document imaging system.
    • Processing transcript requests and checks for financial clearance.
    • Coordinating with other campus registrar offices to process degree and enrollment verifications through the National Student Clearinghouse.
    • Processing licensure forms, certifications, loan deferment letters, and other special student requests.
    • Posting grades onto student records.
    • Posting degrees awarded and issuing letters of rejection.
    • Setting up appointments for Assistant, Associate, and University Registrars, as required.
    • Assisting the Assistant, Associate and University Registrars with data entry tasks as assigned.
    • Conducting research and preparing reports for the Registrar and Dean's Office.
    • Preparing correspondence, as needed, for the supervisor.
  • The person in this role will provide guidance to other clerical staff members regarding job functions and questions the staff may have.
  • Train on office and University policies and procedures.
  • Ensure that the department/division receives the administrative support required to meet its commitments and responsibilities. Maintain calendars, make travel arrangements, and update pending commitments and appointments. Assist faculty/supervisor with administrative requirements.
  • Maintain office correspondence and reply to inquiries. Response must be made in a timely manner, and urgent matters must be brought to the attention of senior management; Confirm that the appropriate resources are available, which are needed by the faculty member.
  • Maintain complex databases.
  • Responsible for staff timekeeping.
  • Position is located primarily at Wilf campus, but may include occasional deployment to the other Registrar offices located at Brookdale, Beren, or Resnick campuses.
  • Perform other related duties as assigned. 

Experience & Educational Background:

  • Bachelor’s degree and at least 3-5 years of administrative experience are required.
  • Equivalent combination of education and experience will also be considered. 

Skills & Competencies:

  • Must possess strong knowledge of Microsoft Word, Excel and PowerPoint. May use other Microsoft programs as assigned. The ability to quickly learn and become proficient in new software and technology is essential.
  • Must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office of diverse people and programs;
  • Must have the ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient; a high level of professionalism and confidentiality is crucial to this role;
  • Must demonstrate good judgment, initiative, and attention to detail.
  • Must be able to effectively track time and resources to prioritize work assignments among assigned staff.
  • Must possess strong customer service, communication, and organizational skills;
  • May be required to work independently and produce quality work from conception to completion on assigned projects; 

Salary Range:

  • $60,000 - $62,000
