Job Description:
The College of Arts and Sciences Advising and Career Services office seeks to fill the role of Office Coordinator III. Reporting to the Director of Pre-Health, the Office Coordinator is responsible for supporting student records management and other critical functions of the Pre-Health Advising and Career Services team, as well as the main advising office, serving Arts and Sciences and Maxwell students. The successful candidate will be flexible in adapting to changes in work environment, working in the Pre-Health office, and also providing support for special projects in the main Advising and Career Services unit, as workload fluctuation allows.
This role requires collaboration with the advising team, faculty, and departments to provide outstanding service to our students. The candidate must embrace our university's core value of inclusivity, ensuring that all students and constituents of the university are served in a caring, respectful, transparent, and authentic manner.
Qualifications:

  • High School Diploma with 3 years experience.
  • Associates degree or equivalent preferred plus 2-4 years office experience preferably in an academic environment.

Job Specific Qualifications:
  • Solid understanding of Microsoft Office and Adobe Professional suite, with the ability to create and revise documents.
  • Good oral and written communication skills.
  • Solid interpersonal skills.
  • Good organizational skills, and the ability to multi-task in a fast-pace professional environment.
  • Ability to maintain a high level of confidentiality with sensitive information.
  • Knowledge of PeopleSoft or related system is preferred but not required.

Responsibilities:
  • Perform administrative and clerical duties that require limited independent judgment yet some level of confidentiality. Includes assisting in the preparation and editing of all correspondence, reports, inquiries, mailings, ordering of supplies, etc.
  • Interpret policies and procedures.
  • Perform office duties and coordinate the office routine, providing an in-person office presence.
  • Greet students and other visitors to the office.
  • Manage and coordinate calendars and schedules and appointments.
  • Process and keep track of expenses associated with the operation of the office.
  • Respond to general department inquiries. Forward complex inquiries to department representatives.
  • May hire, train, and supervise student employees.
  • Other duties as assigned.
