Position Overview
Responsible for providing administrative support to the EOP College Division (SSS), maintain manual computerized admissions and financial aid records for the office.
Duties and Responsibilities
1. Serve as receptionist for the College Division: receive and direct incoming requests for appointments, information, and assistance; assist students or other visitors; provide information regarding admission process for SSS, scheduled appointments or activities, application process, etc.; answer telephones, route mail, maintain general email inquiries and telephone messages. Provides administrative support to the Associate Director and staff of the College division.
2. Maintain manual and computerized records, files and databases for SSS; prepare files for each applicant including all relevant forms, correspondence, and eligibility documentation.
3. Assist Admissions Counselor with phone calls and reminders to students and utilizing Slate. Enter students into student access. Once students are admitted, send out updates and reminders to student events. Produce flyers and brochures when needed.
4. Schedule and make summer program arrangements for residence hall, food service, student life, and other campus departments. Schedule academic advising appointments during the summer program.
5. Prepare for graduation for the College program, and assist in scheduling student events (ordering food, booking rooms, emails to students, tracking attendance).
6. Assist with scheduling admission appointments and program application appointments; work with applicants, parents, and high school counselors.
7. Document program activities: maintain current files of correspondence, reports, applications, student and alumni records; maintain unit calendar and correspondence logbooks.
8. Assist with travel arrangements and logistics for seminars, workshops, and other Program activities: schedule appointments and arrange travel as requested by College Division Director; make room and media/equipment reservations; order supplies and/or refreshments; assist with set-up and registration.
9. Compile student data or other information for preparation of internal or external progress reports (e.g., biannual reports to US Department of Education, annual performance report, grade and attendance reports, activity reports, etc.).
10. Provide backup support to the Central Office.
11. Assist with audits or requests for information needed by US Department of Education or Marquette University.
12. Perform other duties and responsibilities as required, assigned, or requested.
Required Knowledge, Skills and Abilities
High school diploma or equivalent.
Requires two (2) years or related administrative work experience.
Ability to work in a high volume, fast paced, customer service-oriented environment
Excellent oral and written communication skills, interpersonal skills, and the ability to deal with
diverse constituencies
Strong computer competency, to include proficiency in Microsoft Office Suite (including Access), and web-based and social media applications
Demonstrated attention to detail, professional attitude, and ability to maintain confidentiality.
Occasional evening and weekend hours required.
Preferred Knowledge, Skills and Abilities
Bachelor’s Degree
Work experience or background in a higher education environment
Proficiency with university computer systems.
