Position Summary

Under general supervision, performs standard clerical and administrative duties. Requires demonstrated knowledge of the fundamental concepts, practices, and procedures of the secretarial function usually gained through formal education in secretarial science or secretarial experience. Reads, prioritizes, and routes incoming mail. Makes travel arrangements and reservations. Schedules appointments. Orders supplies, maintain databases and reports. Assists with special projects. Drafts and types correspondence. May supervise other support personnel. May handle confidential information, dictation, and transcription. May verify insurance and process medical record requests.

Duties and Responsibilities

  • Manages the calendars of several faculty.  
  • Manages Divisional Seminar Series.
  • Assists with recruiting fellows and maintaining items in Medhub.  
  • Answers multiple telephone lines.
  • May handle assignments that require a thorough knowledge of the department and/or institution's policies and procedures.
  • May track memberships, journal subscriptions, maintain contract renewals, and ensure reimbursements are processed.
  • Maintains inventories of supplies, establishes filing systems, and may perform other clerical duties as required to support department or unit operations.
  • Assists with special projects.
  • Performs other duties as assigned.

Hourly Pay Range: $15.00 - $24.40 

 

Qualifications

 

Qualifications

High School diploma or GED and five (5) years of related experience required. 

Preferred Education/Certifications/Skills

  • Accurate spelling skills are necessary. 
  • Ability to perform math calculations
  • Ability to proficiently multi-task under a heavy workload; strong organization and communication skills a must.
  • Energetic/dependable/self-motivated
  • Strongly desired skills include Microsoft Office and Adobe Acrobat/Professional.
  • Experience preparing and processing requisition/purchase orders using Oracle preferred.
  • The ideal candidate must be organized with attention to detail and the ability to manage general office tasks.
  • Previous experience preparing materials for meetings, grant submissions, fellowships, and seminar series are helpful.
