Office Associate II

This role provides administrative support to 3-5 faculty members. It involves coordinating departmental activities, maintaining faculty calendars, scheduling meetings, travel arrangements, processing reimbursements, coordinating patient appointments, maintaining licenses and professional society memberships, composing letters and memos, maintaining supplies and inventories, taking minutes at meetings, and supporting other department activities and functions. The role also involves onboarding incoming faculty, physicians/student observers and coordinating with the Access Center on messages/appointments for VIPs and other referring physician requests.

 

Key Duties & Responsibilities

  • Under general supervision, performs standard clerical and administrative duties.
  • Reads, prioritizes and routes incoming mail.
  • Makes travel arrangements and reservations.
  • Schedules appointments.
  • Orders supplies, maintains databases and reports.
  • Assists with special projects.
  • Drafts and types correspondence.
  • May supervise other support personnel.
  • May handle confidential information, dictation and transcription.
  • May verify insurance and process medical record request.

  • Requires demonstrated knowledge of the fundamental concepts, practices and procedures of the secretarial function usually gained through formal education in secretarial science or secretarial experience.

Hourly Range: $15.00- $24.40

 

Qualifications

 

Education

  • High School diploma or GED
  • And five (5) years of related experience required.
