General Description / Primary Purpose
Responsible for managing administrative budgeting functions and personnel processes for the department and for formulating and recommending procedures to effectively administer such functions.

Essential Duties


Job Function
Prepares and processes documentation including but not limited to purchasing activities, requisitions, and invoices. 
 
Maintains departmental fiscal records to ensure proper recording keeping and keeps track of expenses and revenue for dept. budgets. 
 
Manages HR/personnel processes for the department including all paperwork or online submissions applicable to the hiring of an employee and other various personnel documents. 
 
Manages travel for staff within the unit. 
 
Reconciles and monitors budget expenditures and revenue and analyzes variances from planned revenues and expenditures. 
 
Assists with the preparation of budget requests and reports. 
 
Communicates with management about issues and works with a variety of staff across departments with regard to administrative issues. 
 
Provides guidance to department staff regarding administrative applications and implementation of new or revised policies and procedures. 
 
Maintains all confidential personnel files of department and protects sensitive data according to University and department policies. 
 
Maintains various spreadsheets to keep track of financial and other data and ensures the timely availability and integrity of the data for unit decision-making. 
 
Provides administrative support to the department and completes other duties as assigned. 
 
During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.

Required Qualifications

High school diploma and two years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.

Preference given to applicants who meet the required qualifications and also possess the following: 
Must be proficient in Microsoft Excel and Word. 
Must possess excellent organizational skills, be detail oriented and be able to multi-task effectively. 
Must have the ability to establish and maintain effective working relationships with others, and have excellent interpersonal and communication skills both written and oral.
