Office Assistant

The Office of Compliance, Diversity and Ethics (CDE) is looking for an enthusiastic and energetic person for the role of Office Assistant in the CDE Office.


Reporting directly to the Executive Assistant to the VP, the Office Assistant will provide a broad range of administrative support functions for the office under the direction of the Executive Assistant.

Job duties include, but are not limited to:

  • Act as office receptionist, answer and direct phone calls and walk-in visitors;
  • Monitor and manage the CDE generic email account; provide daily support for Compliance, Diversity and Ethics staff;
  • Schedule meetings, prepare and proofread documents; filing, photocopying, compiling training materials, etc.;
  • Modify and maintain databases in Excel and produces reports from those databases; performs data entry into vendor data bases such as the complaint processing database;
  • Register staff for conferences, renew subscriptions and memberships, etc.

Required Qualifications:

  • Must have strong written and oral communication skills;
  • Ability to work independently and as part of a team;
  • Ability to identify needs and demonstrate initiative in analyzing and accomplishing tasks in a timely manner;
  • Considerable knowledge of basic office practices, procedures and equipment (e.g. telephone, computer, fax, copier, etc.);
  • Attention to detail;
  • Ability to work with minimal supervision, prioritize work, maintain confidentiality, and handle multiple competing priorities;
  • Prior experience in an office setting;
  • Demonstrated advanced experience with Microsoft Office Suite (including, but not limited to, spreadsheet and database applications).

Preferred Qualifications:

  • Database experience, or equivalent training and experience.
