Description of Work Unit
The Colorado State Forest Service (CSFS) Nursery, located on the Foothills Campus of Colorado State University in Fort Collins, is the state’s leader in producing low-cost, Colorado-grown seedling trees and shrubs for conservation purposes. In keeping with its mission, the CSFS Nursery produces a variety of species for landowners and land managers, all selected for their hardiness and adaptability, and ideally suited for conservation purposes. Situated on 130 managed acres used for field production of bare root seedlings, the CSFS Nursery also utilizes 18,000 square feet of greenhouse space for container plant production. More than 40 species are produced at the Nursery, with ideal selections available for all of Colorado’s diverse environments, and we continuously conduct trials to identify new species that will address the needs of landowners. The CSFS Nursery sells approximately 1 million seedlings each year to private landowners, largely through a network of cooperators. The CSFS Nursery is the state’s leader in producing low cost plant material for conservation applications. The nursery provides plant material to landowners through a network of cooperators, via shipping and walk in customers at the nursery location.
Position Summary
Under supervision of the CSFS Nursery Manager this position will assist the Nursery Manager and support staff with all operations included, but not limited to: product sales, inventory, and distribution, logistics of the seedling tree program, account tracking and reporting and purchasing of supplies and materials for the CSFS Nursery. The office and account administrator will be responsible for providing superior customer service to seedling cooperators/customers. The position is responsible for conducting and recording all sales including payment processing and account and inventory tracking, as well as coordinating and communicating the information with those involved in tree processing and distribution. The position also involves maintaining excellent inventory control for the nursery staff as well as communicating accurate inventory numbers electronically with cooperators. The position will be required to contribute to strategic planning by identifying customer needs and challenges, product pricing, or barriers to sales operations. Additionally, the position will need to coordinate between multiple departments to ensure product quality, order accuracy and on time deliveries and shipments. The position will also be instrumental in assisting the Nursery Manager and support staff in developing delivery schedules and yearly order forms.
Minimum Qualifications
To qualify for this position, candidates must demonstrate:
  • Two full-time years of technical accounting experience.
Substitutions
Two years of college, university or non-correspondence business school which included eighteen (18) semester credit hours of accounting or bookkeeping can substitute for the required experience. *Please note, to qualify for this substitution, a transcript must be attached at the time of application.

The highly desired candidate will possess the following knowledge, skills, abilities, personal characteristics, and experience directly related and critical to this position:
  • Experience with forecasting annual revenues and expenses
  • Experience with State of Colorado financial processes
  • Basic skills within database systems such as MS Excel and Quickbooks
  • Accounting and budget projections abilities
  • Customer service skills – able to interact well with the public, think on their feet and be adaptive and responsive
  • Familiarity with CSU financial systems including Kuali
  • Directly related state service experience

Essential Job Duties


Job Duty Category Fiscal/Budget, Inventory and Procurement Support
Duty/Responsibility
Assist the Nursery Manager with Nursery accounts and inventory tracking. Provide budget analysis and account status as required by the Nursery Manager. The Nursery Office and Accounts Administrator is responsible for reconciling budgets versus actual expenses and creating and maintaining spreadsheets to assist with tracking nursery sales and inventory. Reallocate Pcard transactions for nursery staff using Kuali Financial System (KFS); utilize Kuali action list, and know how to handle the Pcard transactions; the State Office (the fiscal officer) will approve the purchases. Access VistaPlus account reports to verify (reconcile) account transactions; if errors are found, complete CSFS internal form for State Office to make the correcting entry in Kuali. Create requisitions and disbursement vouchers to issue payment; review all transactions in Nursery accounts for appropriateness of revenues, expenses and object codes; select appropriate vendors when purchasing office supplies, following CSU purchasing requirements; research and recommend purchase/lease of office equipment and vendor selection; process payment via credit card terminals, create Distribution of Income and Expense documents and corresponding entry to the credit card clearing object code. Additionally, the position is responsible for processing payments, preparing purchase orders and reimbursements by using the correct CSFS forms.

Job Duty Category Office operations and Customer Service Support
Duty/Responsibility
Create several documents that support the sales or reporting process such as invoices in addition to newsletters, publications and electronic correspondence that supports the larger mission of the nursery and agency. Serve as the primary contact for seedling tree customers. In addition to taking and completing orders the position is responsible for all of the following: creating the annual nursery order form and reporting documents, monitoring the seedling tree inventory, coordinating with other department supervisors to ensure on time and accurate deliveries and shipment, providing superior customer service on the phone and in person including providing technical assistance and species information. The position is also responsible for maintaining professional relationships with other agencies and ensuring a positive purchasing experience for all.

The Nursery Office and Accounts Administrator is often required to conduct records maintenance which involves organizing and archiving financial documents, as well as other files and records associated with the operation. The position is occasionally required to maintain and improve digital resources. This involves data base maintenance, online inventory maintenance and other informational technology duties.
