Job Description

Arizona State University, in partnership with eight other leading universities (University of Arizona, Northern Arizona University, University of California, San Diego, San Diego State University, University of Hawai'i, Boise State University, University of Idaho, and the University of Nevada, Las Vegas) has been selected to serve as a National Science Foundation I-Corps Hub as the Desert and Pacific Region Hub.  The I-Corps program, created in 2012 by the National Science Foundation (NSF) aims to further develop and nurture a national innovation ecosystem that guides the output of scientific discoveries closer to the development of technologies, products, processes, and services that benefit society. The goal of the I-Corps program is to reduce the time and risk associated with translating promising ideas and technologies from the laboratory to the marketplace, increase the economic competitiveness of the United States, encourage collaboration between academia and industry, and train NSF-funded faculty, students, post-docs, and other researchers in innovation and entrepreneurship skills.

Administered through the Office of the Provost with the EVP and University Provost serving as the Principal Investigator and with the supervision of the NSF I-Corps Hub: Desert and Pacific Region Director and Hub Coordinator (who serves as project manager), the Hub Assistant will support the Hub.  The Hub Assistant supports the implementation of all program operations including adhering to program expectations, managing timelines and resources, assisting with budget transactions, managing logistics of the Hub trainings, and coordinating marketing and recruitment efforts. The Hub Assistant also supports with the Hub Director and Hub Coordinator as well as the Hub Management Team and the Hub Leadership Team on Hub meetings including agendas, managing information sharing including Dropbox, Google Drive, and other related tools.

This is an .80 FTE benefits-eligible grant-funded position with a five-year initial award period and is contingent on continued grant funding.

This position is fully remote from the employees’ primary state of residence.

Essential Duties

Strategic (10%)

  • Develop a deep understanding of program priorities, objectives, deliverables, and outcomes.
  • Help maintain a programmatic culture that’s inclusive.
  • Support the execution of a well-organized administrative communication and operation plan for all stakeholders.  
Programmatic (50%)
  • Support the facilitation of workshops, trainings, or other programmatic support mechanisms.
  • Support Hub recruitment activities and events.
  • Maintain tracking mechanisms needed to execute program reporting.
  • Assist with preparation of program reports, including quarterly and annual fiscal and narrative reports.
  • Support collaboration with the Marketing and Communications team to develop and maintain a web and social media presence.
  • Effectively share and communicate information and resources internally and externally to increase awareness, understanding, and support of the I-Corps program and its resources.
Operations (35%)
  • Work closely with university grant administration and Office of the Provost Finance and Operations team to monitor sponsored account budget and related expenses and monitor sub award process.
  • Coordinate facility and technology requests to support program implementation.  
  • Assist with coordination of travel and meeting logistics for the annual Hub and National Innovation Network meetings. Maintain compliance of administrative and fiscal policies and procedures in accordance with all applicable university and federal regulations.

  • Other duties as assigned.

Minimum Qualifications

Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.


Desired Qualifications

  • Experience with events production, both in-person and virtual.
  • Experience with Zoom, AirTable, LMS management, or other digital tools.
  • Experience working in an entrepreneurial environment.
  • Experience working with incubation, acceleration, and/or venture development and commercialization programs.
  • Experience working in Higher Education.
  • Experience in planning and managing activities and establishing priorities.
  • Experience in establishing and maintaining effective working relationships with peers, community members, and stakeholders.
  • Experience in work that requires attention to detail. Self-organized and reliable.
  • Demonstrated knowledge of concurrent program coordination.

Working Environment

  • Work duties are performed primarily in an online environment working with partner institutions and program participants across five states initially.
  • Regular activities include the use of office equipment including a laptop computer; subject to extended periods of sitting, standing, walking, and lifting to 20 pounds.
  • May require a flexible work schedule, including evenings and weekends, to accommodate events, projects, and initiatives.
  • Domestic travel to ASU campuses, partner locations, or NSF may be required.
  • Regular activities may require the ability to quickly change priorities.
