Reporting to the Military Affairs Manager, the Military Affairs Representative serves as a key member of Berklee Online’s Military Affairs team. They are responsible for providing exceptional customer service to the Berklee Online military community. This position serves as Veteran Affairs Certifying Official and Military Tuition Assistance advisor for students enrolled within our degree and certificate programs. They will be responsible for certifying Veterans and Military Tuition Assistance benefits and tracking enrollment changes through multiple systems. The Military Affairs Representative will provide assistance with military inquiries related to benefits, payment status, tuition discounts, and other military related student requests. They will assist the Military Affairs Manager with a variety of administrative tasks and projects to grow and improve our student experience.

Essential Duties and Responsibilities:

  • Provide assistance to prospective and current military students through a variety of communication tools including email, phone, text, webconference, or one on one scheduled consults.

  • Communicate with military students about benefit utilization, and benefit eligibility.

  • Request, update, and maintain military student information in multiple databases.

  • Disburse military benefits to student accounts within Powerfaids and other legacy software systems.

  • Work collaboratively with academic advisors and other student service departments to ensure all students eligible for benefits have awards posted on accounts.

  • Coordinate the process of Veterans Affairs certifications to ensure the timely payment of benefits.

  • Review withdrawal requests and update VA Enrollment Manager  system, Department of Defense systems.

  • Submit military tuition assistance invoices and student grades in Department of Defense systems.

  • Collaborate with student support department to provide indirect cost projections (computer hardware, software) to students utilizing Veteran Readiness and Employment (VR&E) benefits.

  • Communicate effectively with Veteran Readiness and Employment (VR&E) counselors to ensure benefits are awarded and certified.

  • Ensure all military affiliated students receive the proper billing rate.

  • Identify and communicate scholarship opportunities for military students.

  • Other Duties as assigned. Must be able to change/alter priorities to match given circumstances. Able to work on multiple assignments with frequent interruptions.

Program Coordination Support: 

  • In collaboration with the Military Affairs Manager, ensure that Berklee is in compliance with all governmental regulations concerning veterans and their educational benefits.

  • Assist the manager with developing military events, updating Berklee Online Military website, and other business process improvements.

  • Assist in preparing for Massachusetts Department of Higher Education compliance visits.

  • Work with the manager to improve the first year experience for all incoming military students.

Knowledge, Skills, and Preferred Qualifications:

  • Bachelor’s degree in a related field

  • Demonstrated experience in higher education support service

  • Excellent problem solving skills

  • Strong data entry skills

  • Exceptional attention to detail, highly solution oriented, flexible, and reliable 

  • Strong writing skills

  • Organization and time-management skills

  • Strong interpersonal and follow up skills to conduct all relations with students, parents, faculty, administrative, and support staff in a professional manner via telephone and email.

  • Ability to function well under pressure and maintain a pleasant customer service attitude. 

  • Ability to meet data driven metrics for inbound/outbound calls and emails. Innate ability to handle increased volume. Supports Berklee Online Student finance team with general inquiries during heavy enrollment periods

  • Action-oriented, takes a proactive approach to daily tasks and responsibilities.

  • One to two years of experience working as a Veterans Affairs Certifying Official preferred

  • Knowledge of financial aid awarding, financial aid processing, and Veterans Affairs/Tuition Assistance benefits preferred

  • Understanding of computerized systems, Colleague, and Salesforce or other Customer Relationship Management applications preferred
