Position Description:

The Medical Residency Program Coordinator IV is responsible for managing the daily operations of the Pulmonary Disease/Critical Care Medicine and Sleep Medicine fellowship programs. This position works with their respective program directors, division leadership team, and GME office to implement program policies, procedures, and processes that are compliant with relevant national, state, and institutional guidelines.  This position is particularly focused on ensuring fellow compliance with those guidelines, to successfully complete their training.

Essential Duties and Responsibilities

  • Assist program directors with management of the fellowship training programs, including all required reporting in multiple software systems as mandated by the GME Office and ACGME, and maintaining compliance with accreditation guidelines.
  • Oversee daily operational activities and special program activities.
  • Manage program data in hardcopy files and online systems.
  • Respond to inquiries regarding the fellowship and other training issues.
  • Coordinate conferences and rotation schedules for faculty and fellows and ensure all mandated training requirements are being met.
  • Work with division Coordinator and department Financial Team to track all fellowship expenses, including allowed reimbursements for travel, procard charges, and other expenses related to the fellowship program.
  • Monitors completion of program requirements, alerting residents regarding deficiencies. Notifies program director of issues.
  • Maintain confidential records of current and former fellows. Provide timely verification of program completion for other organizations.
  • Distribute monthly evaluations of fellows, faculty, and program to monitor performance and identify areas for program improvement.
  • Coordinate the logistics for the annual recruitment, interview, onboarding, and offboarding processes for new fellows.
  • Coordinate annual graduation dinner.
  • Manage online lecture series for the Pulmonary and Critical Care Fellowship, with assistance from Louisville Lectures.
  • Provide administrative support for all fellow-related matters.
  • Handle incoming business for the Program Directors including maintaining CV updates.
  • Serve as backup to other staff in the office when they are out.
  • Other duties as assigned.
Preferred Qualifications
  • Experience in graduate medical education.
  • Proficiency in residency/fellowship management software.
  • Familiarity with national residency/fellowship guidelines.
Target Compensation Maximum:

$31.38

Target Compensation Minimum:

$20.92

Compensation will be commensurate to candidate experience.
