Position Description:

The Medical Residency Program Administrator II collaborates with Program Director and program leadership to support the administration and educational conduct of the ACGME accredited Child Neurology Residency and Pediatric Epilepsy Fellowship Training Programs. This position provides high-level programmatic management, analysis, and interpretation of the training programs through comprehensive graduate medical education (GME) knowledge, overseeing Institutional and ACGME compliance bringing any non-compliance issues to the attention of the Program Directors and the appropriate fellow(s). The Medical Residency Program Administrator II also manages and supervises any other Child Neurology non-accredited fellowship and training programs as necessary.

Essential Duties and Responsibilities:

Child Neurology and Pediatric Epilepsy ACGME Programs Day-to-Day Operations (88%):

  • Develop and implement programs' schedules, ensuring coordination of rotations, conferences, and other educational activities.
  • Completes ACGME surveys, the annual program review, and annual WebADS updates to ensure compliance with ACGME accreditation requirements.
  • Provides day-to-day support to the resident(s) and fellow(s); tracks vacation, leave, and conference attendance.
  • Creates, maintains, and updates fellow portfolios in MedHub.
  • Manages the program evaluation process including evaluations of residents, fellows, faculty, and program.
  • Coordinates the program's Clinical Competency Committee and ensures reporting of ACGME Milestones and ABP Entrustable Professional Activities (as applicable).
  • Ensures the resident(s) and fellow(s) remain current with various licensures, certifications, and training compliance.
  • Reviews and revises Program policies and Letters of Agreement annually or as needed.
Medical Residency/Training Programs Recruitment:
  • Manages annual residency/fellowship recruitment process including general logistics, application review, candidate interviews (either virtual or in-person) and serving as a voting member of the selection committee.
  • Collaborate with program leadership to develop interview questions and evaluation criteria.
  • Assist in the preparation of rank order lists and the submission of the match results to the appropriate bodies.
  • Coordinates with Chair's office and OME to update residency/fellowship program website and recruitment applicant site.
Administrative Support and Management (12%)
  • Facilitate communication and collaboration among program directors, faculty, residents, and fellows for effective program coordination.
  • Participate in self-assessment activities and help develop strategies for meeting accreditation standards.
  • Maintain comprehensive and organized program documentation, including resident/fellow records, evaluations, contracts, and policies.
  • Act as a liaison with the Department of Pediatrics C-Suite, Human Resources, and other University offices as necessary for Division needs
Financial Responsibilities
  • Submit purchase requests and make procurement card purchases.
  • Review and certify monthly ProCard reconciliations.
  • Monitor expenditures against each trainee's standard academic allowances.
  • Process journal vouchers, travel vouchers, and reimbursements for faculty, staff, trainees, and candidates.
Special Projects
  • Collaborate with program leadership to identify areas for improvement and develop action plans.
  • Engages in professional development with participation in GME educational workshops/conferences.
  • Assists with other duties pertaining to the residency/fellowship programs as needed.
Preferred Qualifications
  • C-TAGME Certified
  • Experience working with Medical Residency/Training Programs and systems (Medhub)
  • Strong commitment to customer service excellence.
  • Excellent interpersonal, written, and oral communication skills
  • Outstanding organizational skills
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, Microsoft Teams/Zoom, and Adobe Acrobat
  • Accounting/Budget Experience
  • Management experience

Target Compensation Maximum:

$68,900.00

Target Compensation Minimum:

$45,900.00

Compensation will be commensurate to candidate experience.
