Position Summary:

Florida Atlantic University is seeking a Medical Education Specialist - Boca Raton, FL.

The Medical Education Specialist will assist the Foundations of Medicine Course Directors and the Program Manager, M1/M2 Clinical Curriculum & Preceptorships in work within the Office of Medical Education (OME) at the Charles E. Schmidt College of Medicine (COM) to provide support across all four years of the MD program with an emphasis on the Foundations of Medicine courses and Year 4 curriculum. The Medical Education Specialist will provide administrative support for the MD curriculum with a focus on the Foundations of Medicine courses and related activities

Summary of Responsibilities:

  • Collect and enter course and session materials into our learning management systems (i.e. OwlMed, Canvas) and other curriculum databases as applicable.  

  • Assist the Foundations of Medicine (FOM) Course Directors and the Program Manager, M1/M2 Clinical Curriculum & Preceptorships with academic support associated with the implementation of all aspects of the courses.

  • Assist with modifying and/or updating the curriculum mapping for the courses in our learning management system (OwlMed) Work with OwlMed, and other curriculum databases, to enter schedules, syllabi, learning objectives and session materials.

  • Maintain all files and records associated with the curriculum and respective courses.

  • Accurately schedule, update, and maintain lecture recordings and ensure they are available to faculty and students in a timely fashion and verify accuracy according to OwlMed.                             

  • Assist with preparation, posting and/or distribution of small group session materials for all FOM courses.

  • Prepare, distribute, copy and upload small group materials for all FOM courses. 

  • Ensure small group rooms and classrooms have the appropriate supplies.  

  • Maintain all files and records associated with the curriculum and respective courses as directed.

  • Assist with the curriculum mapping process for courses as assigned.   

  • Assist the Office of Medical Education (OME) in the coordination, preparation, set-up, and proctoring of all quizzes and exams across the curriculum. This may include cross-training in exam administration platforms and processes. 

  • Assist with the logistics of Institutional Competency Assessment (ICA) week for all academic years and administration of Objective Structured Clinical Exams (OSCEs).   

  • Assist with administrative tasks associated with the Clinical Preceptorship program and/or other areas of OME as assigned scheduling room reservations, Workday processes and other areas in OME as necessary.

  • Assist with administrative support for other courses within the MD program as needed. 

  • Assist the Year 4 Program Manager with the Transition to Residency (TTR) course, Year 4 lottery, Year 4 schedules and orientations. 

  • Work collaboratively with fellow members of the COM faculty and staff, including but not limited to the Office of Medical Education, the Clinical Skills and Simulation Center, and the Office of Student Affairs.

  • Work with faculty and students in a responsive and professional manner.  

  • Complete special projects and/or other duties as assigned by the Director or Associate Director of OME, the Senior Associate Dean for Medical Education, or the Assistant Deans for Medical Education.

Minimum Qualifications:

A high school diploma and five (5) years of appropriate years are required.
PREFERRED QUALIFICATIONS/SKILLS:
Bachelor’s degree is preferred.
Excellent interpersonal skills and the ability to work collaboratively with faculty, staff, students, and other stakeholders within the university and health care community.
Experience in a higher education institution, medical school, or hospital is preferred.

Ability to respect and navigate sensitive issues and maintain confidentiality in all matters required.
Consistently demonstrate a high level of professionalism.

Salary:

$40,000 - $45,000 per year
Exempt Administrative, Managerial, Professional (AMP)
