Description:
The Medical Education Program Specialist will coordinate pre and post activities for the UIIC Grand Rounds presentations and the DMH Grand Rounds. Will also coordinate program activities for the Addiction Medicine and Addiction Psychiatry Fellowship programs. Specialist will be responsible for 1) the primary recruitment coordination for the Adult Psychiatry Residency & Addiction Psychiatry Fellowship programs; 2) the maintainer of data in the New Innovations residency management platform (schedules, evaluations, personnel records, duty hours) for the fellowship programs, 3) the day-to-day oversight of policies & procedures of the fellowship programs, GME, & ACGME as they apply to fellows, 4) maintain accurate data of ACGME ADS (personal records, milestones, scholarly activity), 5) performs other related duties and/or projects as assigned. 6)during high volume times, may work outside of regular work hours.
Duties & Responsibilities

  • Assists in the management and coordination of the annual recruitment process including pre-recruitment and Thalamus (interview platform). Communicates with faculty involved in the interview/recruitment process and post-recruitment activities. Works with manager to provide data of interview season for program records and GME.
  • Coordinates pre and post activities for UIIC & DMH Grand Rounds for weekly/monthly presentations. Involves correspondence to presenters, creating flyer for distribution, record keeping for continuing education credits for audience and reports for CME office.
  • Works on fellows' orientation including coordinating with participants on schedule (operations, HR, GME, health services, faculty). Oversees on-boarding requirements and processes for new trainees.
  • Maintains and manages data into and out of New Innovations including entering yearly schedule, sets up fellows' block schedules and sends out house staff/faculty/rotation evaluations every block and follows up on outstanding evaluations. Updates resident and faculty personnel information as needed. Generates summary of evaluations of fellows for CCC and semi-annual reviews. Tracks and enforces duty hour documentation from fellows.
  • Coordinate and assist program directors with didactic schedules, distribute schedules to trainees and faculty, record and summarize didactic attendance, initiate, and summarize didactic evaluations.
  • Responsible for completing program related forms, (verifications of training requests for exiting fellows, alumni, credentials, letters of good standing.
  • Assists with coordinating off-boarding and graduation activities to ensure departing fellows have completed department, medical center and GME off-boarding procedures.

  • Minimum Qualifications Required:
    1. High school diploma or equivalent.
    2. Any one or combination totaling four (4) years (48 months), from the categories below:
    A. College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
    • 30 semester hours equals one (1) year (12 months)
    • Associate's Degree (60 semester hours) equals eighteen months (18 months)
    • 90 semester hours equals two (2) years (24 months)
    • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)

    B. Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems.
    3. Demonstrated Accreditation Council for Graduate Medical Education Experience
    Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.
