POSITION SUMMARY:
The role of the Medical Education Program Specialist is to meticulously oversee the coordination and administration of multiple medical education programs, particularly focusing on maintaining accurate student rotation schedules, facilitating research opportunities, and coordinating shadowing experiences. This position involves close collaboration with medical students, residents, and faculty members to ensure seamless program operations. Additionally, the Specialist will manage the VSLO application process, facilitate onboarding for accepted candidates, coordinate schedules, evaluations, and grades for medical student rotators, and engage in administrative tasks such as updating course catalogs, syllabi, and handbooks. The successful candidate will play a crucial role in documentation management, onboarding processes, and scheduling for various educational experiences, contributing significantly to the success of our medical education mission.
RESPONSIBILITIES:
Student Rotator Management: Maintain Master Student Rotation Schedule during the Academic Year. Coordinate and draft schedules, facilitate onboarding, and evaluations for all learners/medical student rotators in various courses and clerkships (4th year internal and external medical students, 3rd year internal medical students, 2nd or 1st year internal medical students, Shadowers/observers, PA students, and international students). Collaborate with clerkship coordinators to align schedules and clinic availability to provide learning experiences but managing clinic capacities. Manage inquiries for research opportunities and shadowing experiences, updating records accordingly. Initiate an facilitate shadower/observer onboarding with MHA and the Privacy Office. Collaborate with affiliates to ensure onboarding procedures are up to date and students remain compliant. Appropriately manage student leave requests and schedule changes.
Visiting Student Learning Opportunities (VSLO) Coordination: Review and process VSLO applications, send acceptances and manage onboarding for external students to rotate with USF Dermatology. Monitor and approve/deny incoming VSLO applications. Coordinate and draft schedules, notify and facilitate onboarding with external students, and evaluations for all learners/medical student rotators in various courses and clerkships (4th year external medical students). Collaborate with affiliates to ensure student onboarding procedures are up to date and students remain compliant. Update VSLO Catalog for the next Academic Year.
Administrative and Event Support: Prepare materials/presentations for and participate in Dermatology Specialty Meetings, and other various in-person or virtual events. Aid in coordination of Specialty events, mock interviews, etc. with the Student Program Manager in USF Health's Department of Medical Education. Co-coordinate and participate in various events, such as awards ceremonies and workshops. Manage the list of students who have declared Dermatology in conjunction with the Student Program Manager and the Undergraduate Medical Education (UME) office.
Research/Program Support: Monitor and manage inquiries related to research projects within the department. Act as the main point of contact for research opportunities within the department. Update master list with new research inquiries for resident assignment. Collaborate with resident assigned to appoint research project assignments to students.
Residency Program Support: Assist the or co-coordinate with Residency/Fellowship Program Coordinator with USF Pediatric resident schedule, international residency applications/schedules. Collaborate with USF Health International regarding international inquiries to rotate within the department to determine eligibility and clinic capacity. Aid in other resident learner or resident learning experiences within the department.
Performs other duties as assigned.
POSITION QUALIFICATIONS:
MINIMUM:
This position requires a high school diploma or equivalent, with four years of experience in office or administrative positions. Appropriate college coursework or vocational/technical
training may substitute at an equivalent rate for the required experience.
PREFERRED:
Previous experience working in College of Medicine academia preferred. Previous experience as a Medical Education Coordinator with ACGME site review/working knowledge, VSLO interaction and managing multiple schedule experience preferred.
