Position Summary
Position performs duties of a Medical Assistant as outlined below. Must be able to work independently and acts as the lead resource in a multi-physician clinical practice and lead the Medical Assistants in the clinical operation of a patient care setting; functions as a Medical Assistant in the department as outlined below, prepares charts and appropriately responds to messages through the EMR system, processes prior authorizations and medication refills directly or in collaboration with the provider, obtains reports and records; directs patient flow and ensures the overall smooth running of the clinical office and patient interfacing duties, prepares and maintains exam rooms. This position is assigned to a group of providers and is responsible for the following:

Job Description

Primary Duties and Responsibilities

Patient Facing Duties

  • Interacts directly with patients in clinic setting and completes tasks, which may include obtaining vital signs, verification of medications, medication prior authorizations, patient messages.
  • May assist with renewal and authorization of non-narcotic medications per standing orders and department guidelines.
  • May administer medications under the order of physicians or nurse practitioner (this includes IM injections).
  • Front desk duties â“ Checks patients in and out; processes payments, schedules follow-up appointments; answers phone, etc.

Communication and Documentation

  • In a leadership role, and as needed, may schedule and assign work to other Medical Assistants to ensure appropriate staffing; assists in orienting, writing policies and training new Medical Assistants.
  • Directs patient flow, assists with special procedures/treatments and completes requisitions.
  • Routes phone messages, patient questions and telephone communications to appropriate personnel.
  • Assists with care coordination by doing tasks outlined under the department guidelines, such as calling patients with test results; scheduling appointments; assisting physician with return calls; scheduling diagnostic procedures and admissions; and monitoring new and return patient contacts, including scheduling of appointments and follow-up appointments.
  • Completes necessary paperwork and documentation in a timely manner.
  • Answers basic questions from patient/family regarding treatments, diagnosis and procedures.
  • If order entry in the electronic medical record is part of the job function, completes requisitions/orders per Washington University guidelines.

Other Functions

  • Maintains required HIPAA compliance; maintains skills/competencies and participates in in-services, staff programs, continuing education and cross-training programs according to established standards and Washington University policies.
  • Complies with OSHA, state and federal regulatory sources/standards.
  • Participates in quality improvement activities to ensure appropriate clinical outcomes.
  • Participates in the Psychiatry MA pool of backup coverage as needed.
  • Cross coverage of MA/Front Desk duties as needed.
  • Performs other duties as assigned.

Working Conditions

May require travel to new office locations to set up new MA employees and programs as lead MA.

Preferred Qualifications

  • One or more years of supervisory or team leader experience.
  • Three or more years of Medical Assistant experience.
  • Graduate of an accredited Medical Assistant program.
  • Electronic medical record experience.
  • Dependable, independent worker with strong interactive communication skills, management and leadership skills with ability to professionally work with physicians, patients, families, significant others and support staff.
  • Strong interpersonal, organizational and telephone skills.
  • Working knowledge of anatomy and physiology, fundamentals of medical terminology and experience/knowledge working with electronic medical records.


Required Qualifications

  • High school diploma or equivalent high school certification.
  • Registered or Certified Medical Assistant with three years of related work experience (examples of related fields include military medic, emergency medical technicians, Nurseâ™s Aide, physical therapy and nurse technicians, and certified athletic trainers). Medical Assistant credentials must be obtained from in-person proctored exams from the following certifying bodies: NHA, AAMA or AMT. In-person proctored credentials from other certifying bodies may be accepted upon approval from Human Resources. Substitutions include:
    • Graduate of an accredited nursing program (such as RN/LPN), or comparable allied health training program with a minimum of one year of relevant experience.
    • Ability to show proof of a Medical Assistant certification/registration with successful completion of certification exam (online proctored exams are not sufficient to meet the credential requirement) within six months of hire date (or within a shorter time frame if noted by hiring manager).
  • Basic Life Support certification (Online Basic Life Support certifications, those without a skills assessment component, are not sufficient to meet the Basic Life Support requirements).

Salary Range
$18.84 - $28.29 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
