JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Medical Administrative Specialist 1 coordinates patient services for assigned postgrad specialty programs for the College of Dentistry. This position schedules patient appointments, maintains patient information in electronic patient management systems, collects and documents insurance information, enters appropriate CDT/IT codes for billing and collections, and collects and manages cash payments for services rendered in postgrad clinics. Obtains insurance eligibility verification for pre-authorization from numerous providers. This position requires proficiency with Microsoft products which include but not limited to: Word and Excel.

 

DUTIES AND RESPONSIBILITIES

  • Schedules patients with residents and graduate faculty to ensure efficient patient flow and respond to emergency patient situations as well.
  • Works across multiple computer software systems, scan documents, and learn new systems as required. 
  • Collaborates with other departments in the College to schedule patient appointments for dental procedures handled in another specialty program. Confirms, cancels, coordinates, and reschedules patients’ appointments.
  • Reviews, addresses, and manages email messages appropriately in a timely manner. Answers phone calls, directs callers appropriately, and notes/delivers messages as needed.
  • Work closely with graduate residents to provide excellent customer service to patients.
  • Enters personal and clinical information, makes passport style photographs, scans ID cards, and acquires signatures on NPP.
  • Manages EMR (Electronic Medical Records) and EHR (Electronic Health Records).
  • Updates patient personal, financial, and/or medical information, photos, ID cards, and personal contact information as necessary to maintain the electronic record current.
  • Verify insurance for pre-authorization from numerous providers.
  • Verifies recordings of patient clinical encounters and procedures, and the accuracy of procedure codes for billing purposes.
  • Maintains data entries related to patient accounts and payments received via appropriate documentation in the electronic record.
  • Authorizes credit card payments at the front desk when indicated. Arranges approval for patients applying for Enhanced and CareCredit Credit Fund.
  • Coordinates beginning-of-day bank pick-up procedures, end-of-day bank and credit card management with the billing office.
  • Assists patients in managing insurance claim forms for completed clinical procedures.
  • Performs other duties as assigned.

    Qualifications

     

    MINIMUM REQUIREMENTS:  

      EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

     

    EXPERIENCE: Two (2) years of experience in a medical or dental office/facility with responsibility for scheduling and patient accounts management. Must be proficient with Microsoft products which include but not limited to: Word and Excel.

      LICENSE/CERTIFICATION: Certified Medical Coder (CMC) preferred. (COPY OF LICENSE/CERTIFICATION REQUIRED)       

      KNOWLEDGE, SKILLS, AND ABILITIES:

    • Knowledge of dental procedures.
    • Knowledge of patient billing and coding.
    • Excellent and adaptable computer skills, multi-line telephone management skills, and patient service/management skills.
    • Ability to work across multiple computer software systems, scan documents, and learn new systems. 
    • Ability to manage patient flow and patient accounting.
    • Experience with Electronic Medical Records (EMR) and Electronic Health Records (EHR) highly preferred.
