MedEd Clerkship Administrator


Position Summary

The Medical Education Clerkship Administrator works closely with our Director of Medical Education to provide support for and oversight of the Psychiatry Clerkship program.  Major duties include administering the program, assisting with curriculum development, creating evaluations and reviewing, analyzing, and disseminating program data collected to ensure continuous improvement and accreditation, managing the website, and communicating with physicians in the program, faculty, other administrators within the country.  The Clerkship Administrator provides leadership to community clerkship administrators throughout the state and provides oversight of/supervises the assistant clerkship administrator.

Task breakdown:

Program Management (35%)

Program administrator for the Psychiatry Medical Education Program for the College of Human Medicine and the College of Osteopathic at MSU from MS1-MS4, including Psychiatry & Behavioral Science Clerkship (PSC 608), Psychiatry LCE Clerkship (PSC 641) and the Psychiatry electives (4 in total).  Develops and coordinates agendas, site visits, trainings, and bimonthly director and administrators’ meetings.  Assists in facilitating the statewide/Lansing campus psychiatry clerkship budget.  Facilitates all non-base hospital sites and requirements for the MSU COM students in Southeast and West Michigan during the third year.  Program management tasks include:

  • Maintain non-base hospital sites including; ensure agreements are current, verify number of accepted students annually, invoice college on behalf of the non-base hospital for teaching services, notify students of any additional assignments required by the site they are assigned, if applicable
  • Create/maintain master clerkship rotation schedule (all students)
  • Create grade tracking spreadsheets for each location (CHM by campus and rotation), (COM-geographical area and rotation); updated annually with new graduation requirements, dates, as well as on an adhoc basis when alerted by college(s) of schedule changes
  • Schedule and facilitate monthly Medical Education team meetings; provide guidance for recurring topics to report on during the meeting to the Community Clerkship Assistant (student or placement issues, upcoming/scheduled PTO for the team and coverage for anything coming due, schedule or meeting changes, curriculum, process or policy changes, residency updates, etc.) 
  • Schedule and draft agendas for approval by director for the bimonthly MSEC meeting; prepare and disseminate minutes
  • Coordinate, draft agenda, prepare materials/data for and participate in campus and non-base hospital site visits
  • Train newly hired curriculum administrators in all CHM or COM/CHM blended Communities
  • Assist departmental business office with budget and staff planning for the Medical Education area
  • Send notification of scheduled students to non-based hospital sites in advance of the new academic year; send updates as needed
  • Serve as the Chief Proctor for CHM National Board of Medical Exams (NBME) exams
  • Proctor CHM/COM exams

Curriculum Development / Content Management (20%)

Develops and coordinates syllabi, curriculum content delivery, and curriculum content platforms for the psychiatry courses.  Department Clerkship Administrator (CHM) and Course Assistant Representative (COM).  Participates in required committees; including the Clerkship Administrators Committee for the national organization Association of Directors in Medical Student Education in Psychiatry.  Administrator for all Psychiatry courses in D2L.  Utilizes Google Drive as a repository and to share information with distant campuses.  Lead contact on making all materials for the 3rd and 4th year student materials accessible.  Curriculum development / content management tasks include:

  • Create, review and/or revise content, incorporate changes, and update syllabi by required college due dates
  • Create, review and/or revise content for student assignments as needed; includes creating or revising fillable pdfs/forms, creating or revising rubrics.
  • Create, review and/or revise content, update links, review question banks and quiz formats, update assignment dropboxes, gradebook items and schemes,
  • Prepare a Master D2L course for PSC 608, PSC 641 and all electives for COM, using the components created above.  These courses are utilized to copy into each new section/course number.
  • Improve the program and materials utilizing information from evaluation forms (New Innovations – CHM, Medtrics -COM), feedback from college and department leadership, faculty, and community course administrators
  • Administer all Psychiatry courses in D2L
  • Share information with Community Campuses utilizing Google Drive
  • Draft all materials for 3rd and 4th year clerkship students, obtain feedback, utilize feedback to finalize materials.
  • Review course materials prepared by others to insure compliance with MSU accessibility standards. 

Communication and Interpersonal Relationships (15%)

Main contact for the Psychiatry Clerkships.  Coordinates all Community Clerkship Assistants’ and Community Clerkship Directors’ needs along with the Lead Clerkship Directors within the College of Human Medicine.  Main contact for the Psychiatry clerkship in the College of Osteopathic Medicine.  Coordinates with base hospital and non-base hospital staff, COM faculty and staff, along with the Instructor of Record.  Contact for all international learners that do rotations with the MSU Department of Psychiatry.  Communication and interpersonal relationship tasks include:

  • Act as the main contact for the Psychiatry Clerkships (CHM and COM)
  • Mentor students who wish to specialize in Psychiatry; review and provide feedback on student’s personnel statements for resident applications upon request
  • Respond to questions/requests for information from Community Clerkship Directors and Administrators, Lead Clerkship Director/IOR, Department personnel, college leadership, and students.
  • Coordinate with site administrators for Base and non-base Hospitals with regard to schedules, student numbers, program requirements, and student accommodations when required.
  • Provide information and guidance to potential short term scholars, collect information necessary to process their DS 2019, work with Department HR Administrator to obtain DS2019, send DS2019 to scholar, and create rotation and learning schedules
  • Participate in required college/national committees

Supervision and Leadership (25%)

Provides guidance and direction for campus administrators throughout the state of Michigan, ensuring consistency in the student experience by providing templates for welcome letters, slides for orientation sessions, grading rubrics, etc.  Meets with campus administrators regularly to provide policy updates, curriculum and D2L changes, gather feedback on issues within the community, and provides guidance for issue resolution.  Supervises the assistant clerkship administrator, trains, assigns work, mentors, and is responsible for annual performance reviews and goal planning.  Responsible for ensuring the work performed by the assistant clerkship administrator is completed accurately and on time.

  • Provide campus clerkship administrators with templates for welcome letters, PowerPoint slides for orientation,  grading rubrics, etc.
  • Meet with Campus clerkship administrators quarterly to discuss policy updates, curriculum/D2L changes, and gather feedback on any issues withing the community. 
  • Provide guidance and direction on issues raised within the community.
  • Provide performance feedback to Supervisors of Community Clerkship Administrators upon request.
  • Supervise assistant clerkship administrator; coaches, motivates, develops, and takes corrective action as needed; ensures annual evaluation is completed on time and that job description is kept up to date.

Unit Specific Education/Experience/Skills

Knowledge equivalent to that which normally would be required by completing a Master’s degree in area related to field of employment with course work in computer technologies; one to three years of related and progressively more responsible or expansive work experience in computer technologies, database management and resource management related to educational programs being conducted; or an equivalent combination of education and experience.
