Position Overview

The KU School of Business is seeking a Student Program Coordinator to join the team in the MBA/MS department.  This position reports to the Executive Director of MBA & MS Programs and is responsible for program coordination of MS and MBA programs in the School of Business. The Program Coordinator will work with students, faculty, and other staff to ensure a quality portfolio of graduate business opportunities and student success.  Individuals who are team-oriented, quality focused, and flexible to adapt to the dynamic department needs are encouraged to apply.

The KU School of Business currently offers multiple nationally ranked graduate programs in an array of disciplines and formats including online, Lawrence and satellite campuses. The program coordinator’s office is located in beautiful Capitol Federal Hall, a 166,500 square foot modern facility, on the Lawrence campus, that the School of Business has called home since 2016.

This position is a full-time, twelve-month, regular staff appointment.  This position is designated as primarily on-campus but has some flexibility to work virtually or hybrid over academic breaks, as approved.  Other flexible work schedules will be evaluated as per KU policy and School guidelines.

Job Description

40% Program Coordination and Student Services.  Provide expertise to enhance, implement, and oversee student success in MBA and MS programs.  Duties include but are not limited to:

  • Assists students with enrolling for courses.
  • Creates individual education plans for students.
  • Communicates with each student at least twice a semester in person, by phone, email, or via the KU portal.
  • Assists students with special circumstances (e.g., leave of absence, academic probation, grade grievance, and credit transfer). 
  • Troubleshoots student issues and communicates with students as needed.
  • Works with the Executive Director to predict enrollments each semester to ensure resources will be allocated appropriately.
  • Provides input to Executive Director about orientation and onboarding process for new students.  
  • In cooperation with department staff, record program policy and compile a program handbook.
  • Supports MBA & MS Program goals by understanding populations recruited and admitted to the programs.
  • Develops a strong knowledge of programs and understands the profile of well qualified students for each program.
  • Works closely with other KU offices (e.g. Financial Aid, Registrar, International Student Services and Graduate Studies) to understand KU policies and procedures.  Serves as a liaison to these offices for MBA & MS students.

25% Program Administration.

Provide diverse administrative support related to the role and in support of MBA/MS programs within the School of Business and campus wide. Duties include but are not limited to:

  • Maintains current student data and provides reports as directed (e.g. enrollment and graduation).
  • Ensures program plans and any necessary subplans or certificates are up to date.
  • Monitors workflow within the department and ensures that the tasks are completed in a timely manner.
  • Completes administrative tasks to support the mission of the department and school, including creating correspondence, maintaining databases and files, processing financial transactions and reporting budget expenses.
  • Recognizes the need to be agile with responsibilities as programs continue to develop and evolve.  Completes other administrative support functions as assigned. 

25% MBA/MS Departmental Scheduling and Catalog Coordinator. 

Represents the interests of all MBA and MS programs and serves as MBA/MS scheduler.  Duties include but are not limited to:

  • Meets with scheduling team throughout the semester to ensure that all MBA and MS classes are scheduled and staffed.
  • In collaboration with Executive Director, resolves scheduling conflicts for MBA and MS courses.
  • Works closely with fellow MBA/MS team members to ensure a good understanding of latest program developments for all MBA and MS Programs.
  • Works to create a student-friendly schedule for each program.
  • Manages good operational flow of classrooms assigned for MBA and MS in Capitol Federal Hall.
  • Ensures that Online MBA “wheel” of courses is consistently staffed and serving Online MBA students.
  • Organizes annual meetings between Area Chairs, Assistant Chairs, Associate Dean of Grad Programs and the Executive Director of MBA & MS programs to discuss classes from each area needed for each program.
  • Updates catalog with program changes, in timely manner.
  • Updates course descriptions and pre-requisite information as needed.

10% Service and Other Related Duties

.  Duties include but are not limited to:

  • Participates as an integral and agile member of the MBA & MS team.
  • Serves as an active team member of the school staff including attending staff meetings and serving on School or University committees, as directed.  
  • Participates in Business School Graduation ceremonies twice a year.
  • Assists with events as needed.
  • Completes other job-related duties as assigned.

Required Qualifications

  • Bachelor's degree with one year relevant work experience, or Master’s degree.
  • Experience working as part of a team as evidenced by application materials.
  • Demonstrated skill in written communication as evidenced by the application materials.

  • Preferred Qualifications

  • Experience working in a college or university setting.
  • Experience collaborating with others to accomplish goal.
  • Evidence of problem solving, improving operational efficiencies or otherwise adding value to organization.
  • Familiarity with graduate management education industry.
