Job Summary
Boston Children's Hospital Trust is the philanthropic resource for the hospital which provides vital funds to support our cutting edge research, community outreach, patient family programs and medical education.
The Manager of Administrative Services oversees the Trust's day-to-day operations, including the shared services budget, HR, and facilities. This role will lead the Trust administrative services team and manage contracted personnel related to operational support and facilities. Will also provide leadership to the Trust's development associates on policies and procedures, team building, and facilitation of shared responsibilities.
This Manager of Administrative Services will:
  • Lead, direct and manage the Trust administrative services staff.
  • Support the Trust executive management team and senior leadership with analyses of recruitment and retention data to inform staff planning and development with a strategic focus on equity, diversity and inclusion.
  • Manage human resource functions for the Trust and serve as liaison to the hospital's HR departments, ensuring Trust staff compliance with policies and procedures. Oversee all transactions related to human resources, including hiring and terminating, as well as the annual review process. Ensure the currency of position descriptions, equity and consistency for merit and promotional increases, and the completion of annual reviews.
  • Develop, manage and monitor Trust Services operating budget, and ensure that all Trust vendors are paid in a timely manner and monthly reports are reconciled.
  • Oversee Trust shared services and operations, including mail, supplies, equipment, food, and courier services, to ensure cost efficiency and quality. Contract with outside vendor services as needed. Design and implement systems and programs that ensure an efficient and effective office environment, including conference space, copy and storage space, staff-related facilities, and the allocation of office space.
  • Serve as information resource to Trust administrative staff, providing opportunities to learn Trust culture, operations and policies, as well as promoting collaboration.
  • Manage operations related to facility management in conjunction with Hospital departments and outside contractors, including management of vendor relationships around housekeeping, off-site storage, office furniture and other related office supplies, and space.
  • Manage internal business communications. Oversee the shared content posted to the Trust Intranet site, ensuring effective communication of policy, procedures and documents.
  • Manage use of the Trust corporate card including approval and follow-up documentation.

To qualify, you must have:
  • BA degree and a minimum of 7 years of experience in business administration and management
  • Experience in a fundraising or other non-profit environment is preferred
  • Excellent team-building skills, with demonstrated ability to lead, manage and motivate a team in a creative and demanding environment.
  • Excellent interpersonal, organizational, and written communication skills in relating to leadership, colleagues, and staff.
  • Ability to manage administrative systems and oversee multiple complex projects.
  • Effective in dealing with conflicting views or issues, which may be of a confidential or sensitive nature, and mediating fair and workable solutions.
  • Strong technical skills in generic software programs (MS Office) and information systems; the ability to develop proficiency in specific data base management systems.
