Job Summary
Under minimal supervision, this position is responsible for overseeing the office administrative functions inside the Maintenance Department, managing the key shop and stock room, and coordinating the safety training program for the department. Coordinates with several university departments to promote cooperation and further the university’s mission.  Act as a liaison between the maintenance department and Sunnyside residents and provide quality customer service.  
Responsibilities
Supervises, oversees, and manages the Central Maintenance team: key shop and stock room.
Point of Contact for Maintenance Department training, University HR training, continuing education credits, licensing, and safety training. Tracks and ensures all mandatory university trainings are completed. 
Oversees bi-weekly verification of the Central staff employee time cards. Performs a final review of all Maintenance Department time cards and works with Supervisors to make corrections. 
Coordinates annual Environmental Health and Safety inspections, bi-annual fire inspections, and additional inspections as required. 
Manages safety training programs for all Maintenance staff.
Submits Annual chemical inventory report, oversees chemical storage and chemical policy for the department, requests hazardous waste removal and keeps Safety Data Sheets up-to-date, accurate, and properly displayed.
Maintains successful communication with residents through emails, door-to-door notices, and in-person and phone conversations. Mediate conflicts between residents and maintenance staff, when needed.
Manages uniform and safety shoe program for Main Office & Maintenance staff.
Coordinates initiatives between the Main Office & Maintenance staff.  
Provides general support to ongoing University of Utah initiatives. 
Assists management in developing policies, procedures, and departmental strategies. 
Implements policies and procedures in the areas of customer service. 
Markets and promotes new and existing programs and services to staff and residents.
Participates in University-wide committees to establish customer service standards and administrative plans and policies.
Facilitates cooperative and collaborative community and institutional relationships.
Ensures customer satisfaction by analyzing complaints, concerns, and suggestions and providing appropriate follow-through.
Other duties as assigned.

Minimum Qualifications
Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four to six years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required. Master’s degree in a related area may be preferred.

Preferences
Preferences include applicants with strong professional writing and organizational skills. Applicants with prior experience in office administration, safety program management, or university operations. Applicants who are comfortable working in Excel, Outlook, and willing to learn university systems and programs. Applicants with a background in construction and/or maintenance is beneficial.
