Position Description

  • Manage all aspects of the $4 million Federal Work-Study Program (FWSP) for graduate and undergraduate students at Harvard University, including the processing of hiring, student payrolls, monitoring of wages in relation to FWSP ceilings and preparation of FWSP accounts for billing of off-campus agencies.
  • Serve as the liaison for Harvard graduate school financial aid offices, payroll offices, and off-campus agencies regarding FWSP expenditures and federal policies and procedures; also act as a resource for students, employing agencies, and university departments regarding student employment. 
  • Develop and oversee training and outreach with all university staff on FWSP guidelines and best practices; work closely with financial aid officers in the College in developing financial literacy programs as they relate to student employment. 
  • Responsible for database that tracks FWSP earnings for approximately 2,500 students annually, as well as monthly FWSP accounting, year-end audit, and federal reporting requirements. 
  • Conduct a monthly review of reconciliation reports for College students.
  • Review College students for initial or additional eligibility for Term Time and Summer FWSP funding. 
  • Organize two annual Job Fairs and manage the Superlative Award for employees and employers.
  • Manage a jobs database accessible by all Harvard students and over 3,000 on- and off-campus employers. 
  • Assist with special projects and new initiatives, helping the Assistant Director to oversee student employment throughout the university. 
  • Ensure compliance with federal, state, and institutional financial aid requirements and auditing standards. 
  • May participate in the calculating of financial aid awards for new and returning students.

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 1 year relevant work experience

Additional Qualifications and Skills

  • Demonstrated ability to provide a high-level of customer service in a fast-paced environment. 
  • Ability to work independently in key areas of responsibility, as well as collaborate with colleagues in administering aid to students. 
  • Excellent oral and written communication skills. 
  • Strong organizational skills with careful attention to detail. 
  • Strong analytical and problem-solving skills, as well as orientation towards improving processes and systems. 
  • Familiarity with PowerFaids a plus. 
  • Prior financial aid or student employment experience helpful.

Physical Requirements

  • Sitting using near vision use for reading and computer use for extended periods of time
  • Lifting (approximately 20 to 30 pounds), bending, and other physical exertion

Working Conditions

  • Night/weekend work may be required. 
  • Work is typically performed in an office setting, but may be hybrid, as directed by FAS. 
  • This position will be based in Cambridge, MA. Any remote work must be performed in a state in which Harvard is registered to do business (including, but not limited to, CT, MA, ME, NH, NY, NJ, RI, and VT).

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
