Job Summary

The Office of Physical Resources & Planning (OPRP) provides complete and integrated planning and design services, construction management, building renewal, maintenance, and operations management to maintain the physical resources of the FAS campus.  This position is responsible for managing a wide range of support functions and activities relating to building systems, maintenance and services, and facility budget control for FAS Libraries including Widener Library, Lamont Library, Pusey Library and Houghton Library, and Harvard Library locations including the Harvard Depository, RMS 1 & 2, 625 Mass. Ave, 90 Mt. Auburn Street, and the Audio Preservation Suite at 8 Story Street.  The portfolio totals approximately 1M Square Feet.

Position Description

  • Responsible for management of all mechanical, building, and Life Safety systems including HVAC, Electrical, Plumbing, Fire Safety Systems, elevators, emergency power and emergency egress, building envelope, and structural systems. Ensures all systems are in full compliance with Federal, State, Local, and University standards.
  • Directs contractors as required to provide continuous service of mechanical, building, and Life Safety Systems.
  • Responsible for developing and managing operating budget totaling approximately $11M for FAS Libraries and Harvard Library locations in conjunction with the Associate Director.
  • Responsible for direct supervision of Building Services Coordinator and various maintenance contractors/vendors.
  • Coordinates trades and service providers for the day-to-day building system repairs, and customer requests.
  • Manage and monitor related projects, as well as the Work Request System, to ensure optimal performance and utilization of resources.
  • Provide data and analysis and assists in developing preventative maintenance programs to maximize efficiencies in these areas.
  • Responsible for long-term lifecycle planning of building systems. Manages multiple yearly operational projects (less than $100,000) and capital projects (ranging from $100,000 to $2M).
  • Responsible for maintaining, modifying, interpreting, and running reports in VFA.
  • Works directly with the Library Preservation team to ensure environmental conditions are achieved to protect and maintain the University’s most valuable collections and assets.
  • Key stakeholder in assessing mechanical systems relating to preservation environments for FAS and HL libraries not mentioned above including Tozzer, Yenching, Fine Arts/Littauer, Loeb Music, Cabot/Science Center, Statistics/Science Center, Math/Science Center, Film Archives/Carpenter, Audio Preservation/Story Street, Physics/Jefferson Lab.
  • Manage Environmental Health & Safety programs and act as a liaison for the Libraries.
  • In coordination with Associate Director, responds to library building emergencies for FAS Libraries and Harvard Library locations during working and off-hours.
  • Provides excellent customer service and support to all staff, patrons, and visitors to the Libraries.
  • Works closely with OPRP and Harvard University Office for Sustainability staff to implement best operations and maintenance practices, and to actively participate in University greenhouse gas and energy reduction efforts and goals for the libraries. 
  • Back up liaison between the libraries, university departments, outside vendors, and contractors in matters relating to facilities.
  • Local travel to the Harvard Depository and Records Management buildings on the Southborough Campus, approximately 3-4 times per month.

Basic Qualifications

  • Minimum of seven years of increasing responsibility in facility management including experience with computer-based building control systems, mechanical and electrical systems operations, and maintenance. 
  • Demonstrated ability to set up, schedule & bring to completion several projects simultaneously.
  • Strong working knowledge of other relevant computer tools (MS Office suite of programs, Microsoft Project, scheduling, work order system, Desigo, VFA).

Additional Qualifications and Skills

  • Professional, with ability to communicate effectively with faculty, senior administrators, students, and staff.
  • Diplomacy, negotiation, and consensus-building skills.  
  • Strong computer and data analysis skills.
  • CFM certificate and/or BS/BA degree helpful.

Physical Requirements

Walking throughout facilities, stairs, mechanical rooms, roofs, etc.

Working Conditions

This position is based in Cambridge, MA.  During emergency situations and severe inclement weather, this position is designated as essential and critical to the operations of the FAS.
