Position Summary
The Manager of Enrollment and Alumni Services leads all marketing, recruitment, and admissions operations for the University of Incarnate Word’s Feik School of Pharmacy (FSOP). This position serves as the primary recruiter for FSOP (traveling locally, regionally, and nationally to meet prospective students and applicants), and alumni engagement. The Manager of Enrollment and Alumni Services reports to the Associate Dean for Student Affairs.

Job Duty Name Recruitment
Description of Job Duties
  • Recruit students to the Doctor of Pharmacy program, including the Direct Admit and Pre-Pharmacy programs.
  • Travel to college and university pre-pharmacy clubs, health and graduate fairs, high schools, middle schools, and other venues as needed to attract future pharmacists to the Feik School of Pharmacy. Travel will primarily be in Texas, but will include some out-of-state travel.
  • Oversee FSOP-wide recruitment travel calendar.
  • Advise prospective students on the admission process.
  • Email, call, and follow-up with prospective students throughout the admission cycle.
  • Manage student information collected at events to report and track prospects through the admissions cycle.
  • Lead the FSOP through the InterCAS program each spring as needed.
  • Oversee the FSOP Student Ambassador Program focused on expanding recruitment activities.
  • Collaborate to increase awareness of FSOP’s MS and Pharmacy Technician programs.
  • Maintain confidential student records.
Job Duty Name Alumni Affairs
Description of Job Duties
  • Develop and implement a plan to engage alumni through giving and event participation.
  • Track alumni and provide statistical information as required by leadership.
  • Engage alumni in the life of the FSOP through consistent and positive communications using electronic, print, and social media.
  • Create a robust and comprehensive alumni volunteer program, including FSOP recruitment activities.
  • Develop and execute plans and activities for alumni group (e.g., fall and spring socials, TPA and TSHP socials, 10-year class reunions, etc.).
  • Work with the Dean of FSOP, UIW Development, and UIW Alumni Affairs offices to plan and implement fundraising initiatives to secure increased alumni participation to the Annual Fund and to advance all fundraising and stewardship vision and goals.
Job Duty Name CRM and Records Management
Description of Job Duties
  • Serve as lead user for FSOP in CRM Recruit, Tallo, and other technology programs related to enrollment, to include providing training for staff and users.
  • Utilize CRM Recruit management system to develop a robust communication plan with prospective students and to serve as a conduit between PharmCAS and Banner.
  • Process applications for students in Banner Student Information System.
  • Maintain prospective student database, counselor/adviser database, and FSOP alumni database.
Job Duty Name Strategic Planning
Description of Job Duties
  • Develop, implement, and assess the effectiveness of a marketing/recruitment plan for the Feik School of Pharmacy.
  • Meet new student enrollment goals on an annual basis.
  • Generate regular admissions committee reports culminating in an annual report.
  • Monitor and report regional, national and international trends in Pharmacy education as they relate to admissions.

Description of Job Duties
  • Plan, lead, and coordinate the recruitment of participants for PharmCAMP, Pharm2Table Conferences, and other recruitment events.
  • Provide assistance for interview days, Jumpstart, orientation, and other events/functions offered through the Office of Student Affairs.
  • Plan, lead and coordinate alumni activities including annual 10-year class reunions.

Description of Job Duties
  • Create and manage the FSOP social media strategy.
  • Research, write, edit, and design engaging content for social media channels.
  • Develop and implement visual content for all digital platforms that promote FSOP events, awards, research, profiles, and other news.
  • Create and manage social media content calendar for digital engagements.
  • Manage all FSOP social media platforms as the primary administrator, to include Facebook, Twitter, Instagram, TikTok, and LinkedIn Accounts.
  • Provide monitoring of social and digital media venues and independently respond to posted commentary to ensure that the FSOP image is protected and the UIW brand is communicated consistently and appropriately across all channels.
  • Identify and provide enriching opportunities for audiences to interact and engage with FSOP in the social space.
  • Facilitate discussion and build relationships with prospective students and alumni.
Job Duty Name Office of Student Affairs Support
Description of Job Duties
  • Collaborate with the Office of Student Affairs to ensure successful movement from prospective student, to applicant, and then matriculation.
  • Serve as a member of the Office of Student Affairs team, collaborating on all student services and programs.
  • Assist as needed for student support during Academic Standards and Professional Conduct Committee hearings.
  • Manage a caseload of incoming P1 students for onboarding purposes.
  • Serve on FSOP Committees, including but not limited to the Admissions Committee.
  • Perform other duties as assigned.

Required Education
Bachelor’s Degree in Higher Education, Marketing, Communications, or related field.
Required Work Experience
Three (3) to five (5) years of experience in recruitment and admissions with evidence of progressive leadership.
Preferred Qualifications
  • Experience within a School of Pharmacy, related health professions school, or student affairs in higher education experience.
  • Experience in the development and implementation of a marketing and recruitment plan for university and High School students.
  • Experience with Recruit, Banner, and/or Centralized Application Services.
Required Certifications, Licenses or Registrations
Must have a valid driver license, driving record that is insurable by UIW insurance carrier, and be at least 21 years of age, as required to drive for UIW.
Work Hours
Typical Monday through Friday 8:00am to 5:00pm with occasional extended hours/weekends to meet departmental needs (including travel) and/or needs of the learning community, with some weeknights and weekends.
Physical Demands
  • Ability to actively engage in events for extended periods of time.
  • Ability to regularly move about campus, event venues, and recruitment sites to actively engage potential students, as well as attend meetings on and off campus.
  • Ability to lift up to 25 lbs for table set-up/tear-down at events to include reaching overhead, bending, squatting to retrieve office/marketing/events materials.
  • Ability to push/pull event carts holding up to 25 lbs.
