Purpose

Serve as the primary business administrative contact for the Texas Center for Equity Promotion. Support center operational needs, provide wholistic business and financial review of programs and projects within the center, and coordinate Human Resources and Financial transaction routing for center affiliated faculty, students, and other researchers. The overall goal of this position is to establish core business administration functions within the Center with the opportunity for expansion of duties and the inclusion of direct reports and additional team members as the Center grows. By taking on this role the employee will gain experience that may later lead them to potential growth in leadership and supervisory duties within the center.

This position is posted as fixed term for 3 year. However, it is expected to continue beyond that based on funding.


Responsibilities

Financial Management: Responsible for financial oversight and transaction approvals on all center accounts. Coordinate with Manager of Research Administration (Manager of RA) and Principal Investigators (PI) to plan all project and program spending inclusive of all fund types, which includes providing budget projections and financial reporting across programs. Manage all center HR and financial transaction requests in coordination with COE Business Services. Ensure compliance with internal and external policies and procedures. (50%)

Personnel Appointments: In collaboration with Manager of RA, review award budget and key personnel award effort requirements. Coordinate with PIs and departments for appointment planning across all fund types. Prepare appointment and costing allocation worksheet information semesterly or as needed. Hold the Cost Center Manager role in Workday, and perform ad-hoc costing allocations. Regularly audit all salary and tuition transactions related to appointments. Meet with PIs regarding compensation questions. Liaise with COE-HR on all recruitment efforts. Work with departments on faculty buyouts and summer research appointments. Attend Workday training as needed, maintain appointment policies, and update internal workflow as necessary.

Post-Award Research Administration: Work collaboratively with Manager of RA and PIs on specific aspects of post-award functions, such as assisting PIs with sponsored account budget issues (e.g. insufficient funds and accounting errors); providing ad hoc projected expenditure reports; performing budget reallocations on sponsored research accounts as needed.

Office Management: Provide central email inbox coordination, workflow information dissemination, and electronic file record organization. Assist with TexCEP events. Manage room reservations, office supplies, and equipment inventory. Coordinate key requests.

Other: Act as liaison with departments, COE Dean's Office Business Services, PIs, and centralized UT business offices. Provide university and other policy updates to faculty as needed. Assist in planning and building future Center staffing expansion and funding maintenance with TexCEP directors and COE Business Services. Attend conferences, presentations, and related campus organizations for business administration topics in order to stay abreast of new rules and trends.


Required Qualifications

  • Bachelor’s degree and at least five years of progressively responsible experience in business administration, or a master’s degree and at least three years of experience in business administration. 

  • Demonstrated ability to communicate and interact skillfully with faculty, staff, and researchers; and work with overlapping projects with sensitive and confidential information.

  • Ability to promote a dynamic and customer service-oriented environment.

  • Strong problem-solving skills, high level of organizational skills, and attention to detail.

  • Willingness to partner with internal and external offices and staff to develop processes that build business efficiency.

  • Proficient use of MS Office Suite, including Excel, Word, and Outlook; and Adobe Professional, along with the ability to navigate various University systems.



Preferred Qualifications
  • Bachelor’s and/or Master’s degree in Accounting or Finance.

  • Post-award research administration and fund accounting experience.

  • Previous supervisory experience.

  • Experience with DEFINE, UTRMS, FRMS, UT Purchasing, and Workday.


Salary

$79k + depending on qualifications

Typical office environment. This position provides for work-life balance with a typical 40- hour work week that includes flexible work arrangements and remote work based on eligibility.
