Overview

The Initiative for Data-Driven Social Science (DDSS) seeks a Manager of Finance and Administration (MFA). The Manager of Finance and Administration reports directly to the Director of the Initiative for Data-Driven Social Science and is responsible for the core financial and administrative management of the DDSS. This role is critical for ensuring smooth day-to-day operations, holding primary oversight for all financial activities, providing seamless administrative support, and ensuring effective execution of operations. The MFA will create, manage, forecast, audit, and track the DDSS budget and expenses, and will troubleshoot budget and expense processing issues, being creative in developing solutions and making decisions on how such issues are ultimately resolved. They will also serve as the point of contact for administrative matters, create and manage key correspondence, develop and maintain a calendar of deadlines and events, manage the full DDSS grants workflow, facilitate HR/DOF processes, and play a fundamental role in sustaining an organized operation. Being proactive and anticipating the needs of the department, the MFA is also responsible for knowing and applying up-to-date university policies and procedures.


Responsibilities

Financial and Budgeting Management
The MFA will be responsible for all budget and financial matters, overseeing budget development, projections, and forecast spending plans in collaboration with the Director and Director of Research and Strategy. Position will track research funding projects for grants, working with departmental financial managers. Position will act as Grants Administrator, assisting from inception of grant proposal to post-award support, including subaward/contracting, etc.

Administrative Management
The MFA will be responsible for management of the day-today operations, including all administrative support functions, and for coordinating staff support. This will include drafting and sending DDSS correspondence; answering general inquiries; managing DDSS email account and updating its website. Position will also oversee DDSS facilities.

Staff Management Training and Supervision
The MFA will supervise the hiring, performance reviews, merit increase process and terminations of administrative staff, including regular staff, short-term professional employees, casual hourly employees and student employees. This position will also oversee matters related to Graduate Fellows and support processes related to Dean of Faculty appointments.


Qualifications

Essential Qualifications

⢠Bachelorâ™s Degree or equivalent
⢠Minimum 5 years in budget and office management experience
⢠Strong analytical skills and attention to detail; must be able work independently
⢠Understanding of accounting principles and budgeting; ability to apply these to the task at hand
⢠Excellent computing skills with a thorough working knowledge of Excel
⢠Strong written and verbal communication skills with the ability to clearly instruct others
⢠Must be able to exercise discretion
⢠Exceptional organizational skills with attention to detail

Preferred Qualifications

⢠Knowledge of Grant management
⢠Knowledge of Drupal for website content management and editing, Dropbox for organizing and storing files
⢠Knowledge of Slack for communication
⢠Knowledge of Princeton University applications, financial policies and procedures a plus
