Job Description

Executive Administration is looking for a professional level management intern to provide administrative support for the Business Office. A successful candidate will be able to collaborate with assigned senior staff members in order to gain working knowledge and experience related to department administration.  This position will report to the Assistant Director, Business Operations and will serve as a lead for the student workers.

Essential Duties

  • Process department payments utilizing various payment methods (i.e. credit cards, purchase orders, supplier invoices etc.)
  • Initiate and track to completion various items in ASU’s Workday financial management system (i.e. journal entries, accounting adjustments, receivers etc)
  • Manage the credit card reconciliation process for department credit cards by uploading receipts and backup documentation into the financial system in a timely manner
  • Process incoming department checks depositing them with ASU Cashiering on a regular basis
  • Initiate and track to completion various agreements (i.e. Speaker forms, consultant reimbursements, Independent Contractor Checklists, Technology Use Forms etc.)
  • Manage the account reconciliation process ensuring proper documentation is on file for all Executive Administration accounts
  • Manage the general office operations (i.e. mail, office supplies, Cannon copiers, electronic document filing etc.)
  • Backup coverage for the front desk when needed
  • Other duties and special projects as assigned

Minimum Qualifications

Bachelor's degree in a related field; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
  • Ability to clearly communicate to perform essential functions
  • Office based in Tempe, Arizona
