The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
 

Position Summary

The Mailroom Assistant is responsible for:  handling visitors and inquiries that come to the mailroom; receiving, sorting and distributing all incoming mail, and packages; receiving, sorting and arranging all outgoing mail and packages; and maintaining office supply inventory.  In these duties the mailroom assistant must represent the Columbia University, Irving Medical Center Office of Housing Services in a competent and professional manner. 


Responsibilities

Responsible for incoming and outgoing mail, including the coordination of mail services for the central residential mailroom and package center for CUIMC residential students.  Maintains and routes outgoing mail, including bulk mail such as bulletins and other publications.  Manages the mailroom area to ensure standards of professionalism are maintained.  Provides customer friendly environment which includes greeting, acknowledging and/or assisting customers.  Verifies and maintains tracking system of including and outgoing shipments/packages.  Receives, sorts and prepares items for shipment.  Processes UPS, Federal Express and carrier packages for internal customers.  Notifies individuals when packages and/or express mailings have been received for them via updating our mail tracking system.   Assists Manager by notifying Housing facilities of maintenance problems and inquiries and making building-wide deliveries, as needed.   Assists in the other duties as assigned, which include but not limited to providing back up support in all Housing related front desk operations or assisting the central mailroom staff with their operations.   


Minimum Qualifications

High School diploma or equivalent require.  Minimum of 2 years related experience, or the equivalent combination of education and experience required. 

Ability to work in an organized and efficient manner with a high level of accuracy, attention to detail and follow-through.  Well-developed interpersonal and communication skills.  A strong customer service attitude with the ability to deal with constant interaction both in person and on the telephone is required.  Professional appearance and manner.  Computer literacy and ability to learn new technology, to include working knowledge of Microsoft Office and our current mailroom software.  Working knowledge of mail processes such as Fed Ex and UPS helpful.  Ability to work independently and take initiative on assigned projects as well as accept direction on given assignments.  Ability to lift approximately 15 -20 pounds. 


Other Requirements

The Office of Housing Services residential facilities do not close. We serve our students and remain open during all campus holidays and closures. Due to our 12-month operation, this position is considered an essential employee. In the event of severe weather or emergency situations, the university may suspend classes or close the university. This position would be expected to remain at or report to their facilities as soon as conditions reasonably permit.
