Position Summary
Full-time position available on or after April 4, 2024 for Mail Services.
Under the supervision of the Support Services Manager, the Mail Clerk will perform work that is described under two classifications: Mail Clerk and Stock Clerk. The qualifications and essential duties put forth in this position description combine the two classifications. The incumbent will perform work involving the collection, sorting, and distribution of campus mail, United States mail, and other printed and packaged materials. The incumbent will also perform work involving the receipt, checking, storage, inventory, issue, and delivery of records, materials, equipment, and supplies; and to prepare and/or file forms associated with the receipt and delivery of records, goods, and materials.
Job Duties
Duties include but are not limited to:

  • Pickup and delivery at the US Post Office.
  • Sort mail for delivery to appropriate campus locations per department procedures.
  • Deliver mail to appropriate campus locations.
  • Pickup of outgoing mail (both inter-campus mail and outgoing mail) from assigned mail-drop locations.
  • Prepare outgoing mail for US Post Office (includes sorting and running through postage meter machine).
  • Preparation of UPS and Stamps.com outgoing mail and parcels using appropriate packaging solutions and appropriate computer software.
  • Preparation of bulk mailings in conjunction with Print Shop including running NCOA address-checking software, folding and inserting equipment, tabbing equipment, and other tasks to complete mail projects.
  • Provide customer service at Mail Services counter including selling product and receiving payment from customers.
  • Prepare monthly 'charge back' reports for postage and service provided campus departments.
  • Provide support to Print Shop as determined.
  • Provide reception services for University Support Services operations located in the MSR basement: Print Shop, Mail Services, Record Retention, and Surplus Property including answering the phone, redirecting calls, and greeting walk-in customers. Answer customer questions and provide information on procedures and policies.
  • Be responsible for a cash drawer including counting money in cash drawer at the beginning and end of shift to ensure amounts are correct and reconciled to deposit slips.
  • Prepare and issue receipts, refunds, and credits when required.
  • Monitor cashier station to ensure that adequate cash is available.
  • Sort, count, and wrap currency and coins for deposit.
  • Prepare accurate deposit slips and maintain deposit records.
  • Assist Record Retention Officer in maintaining record retention database regarding campus record custodians, campus records stored in central record storage, records stored in identified departmental storage.
  • Assist Record Retention Officer in record inventory control including record information retention and destruction schedules.
  • Assist Record Retention Officer in communications with campus record retention custodians.
  • Assist Record Retention Officer in the preparation of record retention reports.
  • Receive requests for record storage and retrieval to/from the central record storage location, including appropriate entries in record database.
  • Delivery, Inventory and retrieval of record storage boxes to/from campus departments.
  • Assist with Record Retention training provided to campus record custodians.
  • Assist with maintaining Record Retention website and database.
  • Other Record Retention duties as assigned.
  • Maintain monthly billing for shredding services throughout campus.
  • Develop procedures for implementation to campus.
  • Develop and use shredding form to set up non-contractual services on campus.
  • Set up and process specialized pick up for non-contractual shredding services for campus.
  • Receive requests for shredding services and schedule delivery and pick-up of shredding deposit bins with the appropriate shredding contractor.
  • Maintain appropriate records for reconciling charges involved with shredding services and shredding contractor.
  • Arrange for storage of surplus property for reutilization by campus departments.
  • Maintain the database of surplus property inventory.
  • Assist in the development and maintenance of a surplus property website including on-line property requests.
  • Receive requests for reutilization of surplus property and arrange for delivery and transfers.
  • Assist the manager in arranging for surplus property auctions and disposal.
  • Other duties as assigned.
    Minimum Qualifications
    Education: None required.
    Experience: One year of general office clerical work, stock clerk work or delivery service work. (Prospective applicants who have not had the experience listed may be considered eligible based on other evidence of meeting the listed required qualifications.)
    Preferred Qualifications
  • Working knowledge of current postage rate charts and regulations.
  • Proven ability to function in a computer-based environment as well as perform computer related task, such as basic word processing spreadsheets and data base entry.
  • Previous mail room and stock clerk experience.
  • Experience in operating electronic postal machine and postal scale.
  • Experience in operating PC computers using Microsoft Office.
  • Experience processing bulk mailings meeting postal requirements.
  • Experience with UPS, Stamps.com and NCOA software and procedures.
  • Working knowledge of folding, stuffing, tabbing machinery.
  • Working knowledge of Records Storage and Retention.
    Knowledge, Skills, Abilities
  • General knowledge of office methods, supplies and equipment.
  • Working knowledge of current postage rates and shipping rules and regulations.
  • Ability to accurately interpret and apply current postage rate charts and regulations.
  • Ability to spell correctly and read and write at a level appropriate to the duties of the position.
  • Ability to perform mathematical calculations quickly and accurately.
    License or Certifications
  • Valid California Drivers License

    Salary Range
    Anticipated salary will be $3,338 - $3,672 per month plus excellent paid benefits. Salary will depend on the qualifications of the successful finalist. (Full Mail Clerk range: $3,338 - $4,773 per month)
