Oversees hiring process for FWS student workers, including inputting information into Evergreen and WorkDay; coordinates their schedules, and manages inputting of REQs and receipts in WorkDay for all library resources.

JOB SUMMARY:
Responsible for clerical support of library faculty, and the University Librarian. Oversees hiring process for FWS student workers, including inputting information into Evergreen and WorkDay; coordinates their schedules, and manages inputting of REQs and receipts in WorkDay for all library resources.
Duties and Tasks:
- Provides administrative and clerical support to the Director of Library Services and other professional employees.
- Oversees the circulation desk and processes fines and lost book notices with the Business Office.
- Assists with planning of library outreach events, and schedules any needed equipment, food, etc.
- Notifies Plant Operations when there is a problem with the facilities, tracks maintenance requests and follows-up as needed
- In coordination with the ILL Assistant, oversees hiring, scheduling and coordination of undergraduate student workers in the library using Evergreen, WorkDay and financial aid portals, etc.
- Coordinates student assistant placement, the library budget, and other specific building and equipment-related matters.
- Inputs requisitions for office supplies into WorkDay in a timely and efficient manner to prevent late charges, monitors the WorkDay system, and reports any discrepancies to the Library Director
- Works with the Collection Development librarian on the coordination and input of ebook, print book, subscriptions, and other purchases into WorkDay for purchasing
- Obtains W9s and new Vendor information as needed.
- Coordinates payroll and selected human resources services as needed.
- Tracks absences of all employees, including student workers
- Performs reception and telephone duties as needed.
- Manages library Facebook, Instagram and Twitter accounts as assigned.
- Creates and maintains current informational signage in the library
- Manages administrative records and files.
- Collects mail from mail room as scheduled
- Opens and closes the library as assigned; works in circulation as assigned.
- Other duties and projects as assigned.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge:
- Bachelor’s degree from a regionally accredited college or university.
- Two years of business office or library experience.
- An equivalent combination of education, training and experience that provides the required knowledge, skills and abilities may be considered
- Demonstrated office and computer skills in an academic library environment, or related field.
Skills:
- Excellent communication and interpersonal skills.
- Familiarity with WorkDay or other similar system
- Excellent Microsoft Office skills, including Excel
- Working knowledge of departmental budget reports
- Strong customer skills in a customer service oriented environment
- Some familiarity with Facilities maintenance requests and processes is desired
Abilities:
- Ability to adapt to a rapidly changing environment.
- Ability to work effectively in teams using in-person and online tools.
- Ability to effectively coach student workers on a one-to-one basis concerning workplace expectations, customer service, shelving, and telephone etiquette, etc.
- Ability to manage time effectively and efficiently
