Position is available to employees of the Associated C.O.L.T. Staff of the University of Maine from 12/06/2023 through 12/12/2023 and open to external applicants thereafter.

 

Library Specialist CL3 position in Interlibrary Loan.

 

This is a full-time, regular position with the following schedule: Monday - Friday, 8:00 a.m. – 4:30 p.m. This position pays $19.59/hour.

 

 Essential duties and responsibilities include, but are not limited to:

  • Utilizes a wide range of moderately to highly complex library software systems to retrieve and enter data, and research, locate, secure a variety of physical and electronic materials; performs routine and non-routine complex searches.
  • Charges and renews books and material loans for library users using automated circulation system backup procedures as necessary; maintains online claim system for non-receipt of materials; posts, codes, and processes invoices for payment and inputs data into automated acquisition system; identifies and communicates issues related to invoices.
  • Assists users via e-mail, phone, and in person with searching the catalog, databases and other print and non-print resources. Refers users to more specialized assistance as appropriate.
  • Manages invoice transactions for serials and monographs totaling more than $5 million annually, including processing through Mainestreet for libraries at Orono, Machias and University of Maine at Augusta.
  • Enters data such as fines and billing information into automated system and generates reports and notices.
  • Assembles and compiles a variety of information and data for reports, studies and other purposes following prescribed methods; examines and verifies statistical and other reports for completeness and accuracy of computations.
  • Trains student assistants on retrieving and shelving materials; sorting and processing incoming and outgoing materials; and mailing procedures.
  • Converts physical materials into electronic formats utilizing a variety of specialized programs and equipment.
  • Handles verbal and written communications for a broad range of questions, issues, and requests in assigned area of responsibility; prepares customized memos and related communications for non-routine issues; identifies needs of various parties to determine appropriate response.
  • Provides a range of assistance with research and use of materials and resources in all formats. Responds to inquiries in person, via telephone, and the internet.
  • Performs non-routine searches for library materials requiring a substantial knowledge of library databases and systems.
  • Maintains and updates bibliographic and circulation records and related filing systems.
  • Updates and maintains billing records and related accounts.
  • Works with Library Business Office on invoicing and payments, specialized ILL supplies, shipping requirements, and policies.
  • Participates in maintaining a safe, welcoming, and productive environment for fellow staff and library users.
  • Contributes a positive, creative, and energetic force to the work; demonstrates skills in collaboration, especially when working with staff members whose interests and needs differ.
  • Commits to organizational improvement by identifying opportunities to improve and recommending possible alternatives for a situation.
  • Performs other library-related duties as assigned

Required:

  • Generally has 60 credits or more of higher education or an equivalent combination of work experience and training
  • Provides exemplary customer service
  • Demonstrates strong verbal and interpersonal communication skills when interacting with coworkers, supervisor, patrons, and others
  • Interprets and applies library policies and procedures
  • Effectively uses complex library applications and related software and systems
  • Organizes and manages digital and print records and files
  • Competent with basic computer, multi-media, and audio-visual equipment usage and troubleshooting
  • Organizes, prioritizes, and assigns student work
  • Writes effectively, and reads and understands written texts such as instructions and procedures; uses standard English grammar, punctuation, and spelling

  • Familiar with archival preservation principles

Physical requirements:

  • Positions in this class typically require stooping, kneeling, crouching, reaching, lifting, walking, pushing, pulling, fingering, grasping, talking, hearing, seeing and repetitive motions.
  • Medium Work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
