The School of Medicine has an outstanding opportunity for a Learning Environment Specialist.

The Learning Environment Specialist (payroll title: Program Operations Specialist) provides accreditation and learning environment project management, website improvements and support, event planning and management, and administrative support to the Associate Dean for Graduate Medical Education (GME), the Director of Accreditation, the Clinical Learning Environment Review (CLER) Subcommittee, and the Learning Gateway team.

DUTIES AND RESPONSIBILITIES

Education and Accreditation Project Management:
In cooperation with the Associate Dean and Director of Accreditation, identify, create, and manage projects necessary for compliance with the Institutional Requirements (IR), Common Program Requirements (CPR) and the Clinical Learning Environment Review (CLER) by the Accreditation Council for Graduate Medical Education (ACGME) and other ACGME accreditation standards and requirements as well as institutional implementation of new standards and requirements.
• Review new and ongoing education and accreditation standards with the Associate Dean and Director of Accreditation. Identify and determine standards which will need to have implementation plans.
• With the Associate Dean and Director of Accreditation, develop project documentation including project initiation charters, project management and requirement documents, project plans and timelines, Gantt Charts, and quality review for educational, accreditation, and Special Review projects.
• Evaluates project feasibility and estimates resources, time, and FTE necessary for completion.
• Develops new and customizes existing project management processes, and tools to manage and contain project cost and schedule, and staff assigned to projects, both UW permanent staff and external vendors or contractors.
• Forms and leads project teams from start to end of project.
• Communicates project status and issues affecting project progress to Associate Dean, Director of Accreditation, and project stakeholders.
• Support the GMEC CLER Subcommittee, a monthly meeting chaired by the Director of Quality and Patient Safety.

Educational Event Planning & Management:
Plan and manage GME educational events including, but not limited to, the Program Director Development Series (PDDS), Life after Residency and Fellowship Seminar, and visiting professor workshops.  Events are held in person and virtually.
• Primary point of contact for all GME education events; manage all aspects of the total overall event budget ~ $5,000. This includes budget reconciliation, projections, and expenditure management. Exercise independent judgement and decision-making skills to resolve financial and budget concerns. Develop and maintain databases and tracking systems for budget record keeping.
• Develop, plan, and manage all marketing and communications for events. Manage all aspects of event logistics. Work with GME leadership on event evaluations for future events in support of SoM curriculum.
• Analyze yearly curriculum surveys and determine education needs. Use the results from analytics to determine curriculum for educational workshops for Program Directors and Program Administrators.

Administrative Support to the Associate Dean and Others:
This role will have frequent written and oral interactions with the senior executives and professional staff within UW Medicine, the UW, and affiliated organizations regarding the Associate Dean’s perspective, work and priorities and those of other leaders in the office. The Learning Environment Specialist will represent the SoM Graduate Medical Education’s Accreditation and Education programs and UW Medicine effectively in all communication and correspondence.
• Participate in all meetings of workgroups to independently research assigned policy and topical areas for presentation and discussion. Manage materials for recurring meetings, including setting and managing to agendas.
• Investigate and resolve matters of significance on behalf of GME leadership.
• Continuously exercise independent judgment and decision-making skills to assure adherence to federal and state regulations and other regulations as appropriate.
• Manage the Associate Dean’s highly complex calendar.
• Manage and respond to all inquiries based upon knowledge of the Associate Dean’s views and priorities, including drafting responses to issues identified.
• Manage all travel for Associate Dean, Director of Accreditation and the Learning Gateway team, including the processing of reimbursement.

Website Edits & Improvements:
• Primary Editor for assigned education and accreditation webpages, including regular upkeep and improvement of pages.
• Development of new webpages as identified by the Associate Dean, Director of Accreditation, or others.
• Member of the GME Website Team: responsible for overall website usability, accessibility, standard setting and advancement.

GME Office Projects & Support:
• The Learning Environment Specialist routinely supports and participates in GME cross-functional projects or tasks.  Examples of past participation includes the GME Strategic Communication Task Force and New Resident Orientation Planning Group.  Involvement is decided, in discussion with the Associate Dean, based on needs of the GME Office and/or interest of the Learning Environment Specialist.
• Other duties as assigned.

MINIMUM REQUIREMENTS
• Bachelor's Degree in Business Administration or related field. Equivalent experience may substitute for degree requirement.
• 2 years prior experience: 1 year minimum professional experience as an Executive Secretary or Administrative Assistant and minimum 1 year project management experience.
• Ability to work in a fast-paced, changing environment.
• Excellent oral, written and grammatical communication skills including demonstrated competency in preparation of correspondence and reports using professionalism, diplomacy and discretion in a highly-confidential environment.
• Aptitude for learning new technology and/or programs (commonly used: Trello, MedHub, ACGME Accreditation Data System).
• Proficiency with:
o Microsoft products including Outlook, OneDrive, Word, Excel and PowerPoint.
o Google Tools and Google Calendar.
o Creating and managing project plans.

Equivalent education and/or experience may substitute for minimum requirements.

DESIRED
• Experience with website development/design (WordPress).

WORKING ENVIRONMENTAL CONDITIONS
• Ability to report for normal work hours from 8 AM to 5 PM, including a lunch hour in a (currently) hybrid telework model in keeping with GME Office standards.
• Ability to work alternate schedules on occasion to accommodate morning and evening events. Work may routinely require more than 40 hours per week due to operational requirements.
• Ability to travel locally.
