Job Summary

As part of an ambitious and creative team, the Annual Giving Coordinator is responsible for the coordination of projects and initiatives in that drive revenue to the HKS Fund. This position plays an important role all annual fund activities, including direct marketing, volunteer coordination, data analysis and maintenance, stewardship programming, and responding to donor inquiries.
This position contributes to meeting and exceeding department goals by providing exemplary support to the Senior Director of the HKS Fund and the HKS Fund team. 


Position Description

  • Provide wide range of administrative and project support to the Senior Director of the HKS Fund, including digital organization and recording, preparing/entering contact reports, preparing and compiling high-level materials and presentations, database maintenance, drafting and proofreading correspondence and related materials, scheduling meetings and managing calendars, and preparing expense reports, travel itineraries and schedules as needed. Provide support for other areas as needed. 
  • Generate daily and weekly fundraising reports and also produce donor and gift activity reports as needed, such as fundraising reports tracking and analyzing HKS Fund progress and direct marketing analysis. 
  • In coordination with the Communications team, prepare, test, and send email appeals through Salesforce Marketing Cloud. 
  • Manage annual reporting and stewardship projects as needed and support stewardship and donor recognition programs, including preparing letters and communications. 
  • Serve as the information coordinator for the HKS Fund team. Use the alumni database to verify alumni gifts and other information. Conduct related basic research needed to prepare profiles and correspondence, field inquiries, and help troubleshoot online giving and gift processing issues. 
  • Support the efforts of an Assistant Director in his/her management of the Graduating Class Campaign. This includes attending and recording student volunteer committee meetings, preparing training materials, producing marketing materials and events that promote class participation and education, and attending activities that support the campaign.  
  • Generate donor lists, prospect pools, alumni screening lists, briefings, and donor visit packets as requested. 
  • Generate donor acknowledgement data and other stewardship mailings in support of the HKS Fund. 
  • Manage the prospect tracking system including timely input of prospect related data. 
  • Maintain notes, agendas, and draft minutes of various meetings as needed. 
  • Support the work of high level volunteer committees including the HKS Fund Executive Council and reunion and class gift committees. 
  • As needed, assist with overall HKS Fund volunteer management activities, including providing updates, managing assignments, providing research, and staffing special events or meetings. 
  • Assist with planning, tracking, and event production for HKS Fund events and meetings. 
  • Serve as an active member of the HKS Fund and Individual Giving teams in generating new and innovative fundraising strategies. 
  • As a member of the Alumni Relations and Resource Development Office team, takes on critical project work as needed.  This might include working on project planning efforts, committee meetings or events, drafting reports and presentations or writing proposals.

Basic Qualifications

At least 3 or more years of administrative and/or fundraising experience.  Demonstrated experience with Microsoft Office Suite, in particular PowerPoint and Excel.  Demonstrated experience with databases and reporting tools. 


Additional Qualifications and Skills

  • Attention to detail and accuracy in work product are essential.
  • This position is results oriented and requires a strong ability in priority setting and time management.
  • Must be highly organized, detail-oriented and able to handle multiple projects simultaneously and independently. 
  •  Experience using relational databases to input, code and analyze data about donors would be desirable.
  • Knowledge of ADVANCE and Salesforce Marketing Cloud systems preferred.
  • Early adopter of technology and ability to learn new software quickly.
  • Bachelor's Degree preferred.
  • Ability to manage a busy office with competing demands; not easily flustered and not easily overwhelmed by a high volume of activity and projects.
  • Integrity and trust with a demonstrated ability to manage highly confidential information.
  • Strong oral and written communications.
  • Ability to work with a diverse constituency required with strong inter-personal skills and understanding of customer service.

Salary Range: $59,027 - $93,064
Note: Starting salaries typically fall in the lower half of the salary range; however, they are ultimately determined by the scope of the position, the candidate's relevant experience, and internal equity. 


Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
