JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Lead Residency Coordinator assists in managing the day-to-day functions of the Graduate Medical Education (GME) office and is the primary contact for GME-related issues/questions for 11 residency and 17 fellowship programs. This position manages the HR functions for residents and fellows as well as develops the Center for Medicaid Services (CMS) cost report for Medicare reimbursement which is how the Graduate School of Medicine (GSM) is primarily funded.

 
DUTIES AND RESPONSIBILITIES :

  • Manages the CMS cost report for Medicare reimbursement.
  • Manages the rotations in MedHub to ensure the accuracy of allowable rotations for reimbursement and designates the non-allowable rotations.
  • Performs monthly audits of completed reports and verifies reports before submitting the final report at the end of the calendar year.
  • Coordinates orientation for incoming residents and fellows.
  • Creates and disseminates orientation forms/modules in MedHub for payroll, insurance, and other HR required forms.
  • Manages all hiring related tasks for all residents and fellows; submits and verifies I-9 information through E-Verify; verifies background check and drug screen are approved before the resident is hired.
  • Requests licensure exemptions for all residents and fellows from the TN Medical Board and maintains files for documentation of exemption.
  • Manages the learning modules process for residents and fellows and tracks completion.
  • Assists with questions regarding the MedHub Residency Management software; processes and complies information from MedHub; reviews and approves leave of absence request in MedHub; ensures accuracy of data in MedHub. 
  • Oversees the GME office budget; prepares monthly ledger reconciliation and payments of all GME office invoices.
  • Coordinates the monthly GMDEC meetings that involve program coordinators, directors, chairs and residents.
  • Performs other related duties as required.
  •  



    Qualifications

     

    MINIMUM REQUIREMENTS:  

    EDUCATION: Bachelor’s Degree. (Master’s Degree preferred) . (TRANSCRIPT REQUIRED)

    EXPERIENCE: Four (4) years of related experience; OR Master’s Degree and two (2) years of related experience. 

    KNOWLEDGE, SKILLS, AND ABILITIES :

    • Thorough knowledge of web-based applications, database management, and software applications.
    • High level of organizational and administrative skills.
    • Excellent interpersonal and communication skills.

    WORK SCHEDULE: This position may occasionally be required to work evenings. May require occasional overnight travel. While this position would be eligible for a hybrid work schedule, at least three days per week are required to be on campus. On-campus presence may be required more frequently during the workweek based on the needs of the University.
