Lead Administrative Assistant

Job Summary

The Lead Administrative Assistant will provide high-level administrative support for Herrick Laboratories.  Responsibilities include maintaining the coordination and schedules of the Director, Managing Director, and other key individuals; supporting the faculty hiring process; planning and hosting large scale events; managing large amounts of data within a CRM; coordinating safety training and directing prospective researchers to the appropriate point of contact for SOP’s; coordinating all check-in and check-out procedures; maintaining human subject funding and logging all transactions; and managing students in charge of building deputy duties for shipping and receiving.  Additionally, the assistant will serve as backup for all key and card swipe access, Ariba orders, and travel for faculty and students in the lab.

 

Required:

  • High school diploma/GED
  • Four (4) years of experience in an administrative support role
  • Proficient in Microsoft Office software including Outlook, Word, Excel and PowerPoint
  • Experience drafting, editing, and proofreading correspondence
  • Strong oral and written communication skills to effectively support the department and customer needs
  • Strong interpersonal skills to address customer needs and collaborate effectively with internal and external customers
  • Experience coordinating large events and/or projects
  • Ability to manage multiple tasks while meeting deadlines and maintaining accuracy
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes
  • Ability to identify problems and implement or recommend solutions
  • Ability to lead others and provide direction and constructive feedback
