Position Summary:
The Law Library Administrative Coordinator reports to the Associate Director for Collection Management and is responsible for supporting the students and faculty of the Villanova University Charles Widger School of Law by providing overall operational and administrative support for Law Library operations and through the provision of library services and collections designed to advance legal research, scholarship, instruction, and learning.

Duties and Responsibilities:
LAW LIBRARY OPERATIONS AND ADMINISTRATION
  • Answers telephone and email inquiries
  • Works closely with other University offices
  • Submits student timesheets and employee leave reports
  • Maintains spreadsheet of circulation desk students’ hours and pay and issues monthly report to the Law Library Director
  • Administers Wildcard access to the Law School building and specific areas within the Law School for Law School employees, students, and others
  • Performs acquisition services for the Law Library, including ordering and paying for library materials, reconciling expenses, handling travel arrangements, and making regular expenditure reports
  • Assists with annual statistical reporting to accrediting bodies, national organizations and other organizational memberships
  • Orders library supplies
  • Serves as Law Library liaison to the facilities department
  • Provides other administrative support as needed.

CIRCULATION / RESERVE DESK
  • Serves regular shifts and as backup when needed at the Circulation / Reserve Desk.
  • Answers questions from library users
  • Assists in the use of the online catalog
  • Checks out books and other library materials

JOURNAL/MOOT COURT/TRANSFER STUDENT WRITING COMPETITIONS
  • Manages competition logistics
  • Receives registrations and assigns anonymous numbers
  • Maintains spreadsheets

LIBRARY SERVICE
  • Serves as proxy and facilitates faculty borrowing from Falvey Library.
  • Maintains patron records in the Lucidea GeniePlus library system.
  • Collaborates with main campus library to enhance Law Library services and collections.
Minimum Qualifications:
  • High school diploma.
  • 3 years of experience in a similar setting; a combination of coursework and work experience may also be considered
  • Familiarity with managing institutional finances.
  • Familiarity with library circulation procedures.
  • Familiarity with computer-based data management and expense reporting systems.
  • Strong customer service orientation. Ability to interact and work productively with a variety of people.
  • Excellent written and verbal communication skills.
  • Attention to detail and procedures. Ability to maintain confidentiality.
  • Ability to plan work according to priorities.
  • Intellectual curiosity and initiative.
  • Familiarity with typical office equipment, including computer in a Windows environment and the use of Word and Excel. Ability to learn and use Lucidea DGeniePlus library system and other computer programs and applications as needed.
Preferred Qualifications:
  • Bachelor’s Degree
  • Five years of experience in a similar setting
  • This position requires the use of Banner, Adobe, MyNova, Concur, Blackboard, and Upay; familiarity with these or similar programs and applications is preferred.
Physical Requirements and/or Unusual Work Hours:
Sitting for extended periods of time. Lifting large piles of books. Pushing and pulling library books trucks and hand trucks.
