Job Summary

The East Asian Language Program (EALP) Manager ensures seamless and responsive administrative support for five language programs collectively serving over 1,000 students per year.   Working closely with the language program faculty directors, the department chair, and the Director of Administration, the Program Manager serves two roles:, to act as EALP’s principal administrative liaison to University offices and organizations outside Harvard, and to provide high-level project management of searches, reviews, and faculty affairs, both independently and in support of the Director of Administration. This position also serves as lead staff person in the absence of the DA, and can fill in for the DA if needed.


Position Description

Serves as the primary HR contact for most language instruction staff. Coordinates faculty recruitment, appointments, orientation, and reviews, and visas for international employees.  Submits section estimates each semester for Teaching Assistants and graduate Teaching Fellows and works with program directors to adjust based on enrollment. Collects and maintains class schedules, populates online course catalogue and reserves classrooms. Coordinates placement testing, arranges language tutorials, and fields study abroad and language citation inquiries.

Manages EALP communications including correspondence, reports, presentations, informational materials, publicity, and website content.  As requested, drafts or edits English Language materials and assists with funding proposals. Serves as the coordinator for twice-yearly Language Committee Meetings.

Manages logistics for EALP events including biennial pedagogy conferences.  Arranges faculty conference travel, prepares reimbursements, monitors expenditures, and assists with budgeting. Monitors computer needs for EALP faculty, and troubleshoots IT and media issues.  Maintains EALP records. Ensures full functioning of media and office equipment, and monitors facilities for needed maintenance and repairs.

Works closely with the Director of Administration to provide strategic support for the administrative direction of the department, and to provide additional support in matters such as searches, reviews, visa applications, and other faculty affairs as needed. Coordinates with DA and department chair to maintain support and communication between the language programs and the rest of the department.

Trains and supervises a half-time program assistant. Must be available to provide support at occasional evening events.


Basic Qualifications

Five or more years of related administrative experience. Education beyond high school may count towards experience.


Additional Qualifications and Skills

College degree and background in East Asian languages and/or civilizations preferred. Proven excellence in project and/or program management skills.  Ability to work effectively with a diverse array of constituents.  Excellent interpersonal, communication, and teamwork skills and ability to handle complex and confidential information with discretion.  Competency using Microsoft Office Suite applications and Oracle programs and other online databases.

Work Format Details

This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.

Schedule

This is a full-time, 35-hour per week position. Hours are M-F 9am to 5pm, with three days in the office and two days remote.
