Summary

This is a term appointment of (3) years.

The Maintenance Services Department Key and Access Control group is seeking to modernize our key and access control programs through a combination of policy development and customer outreach, software implementation and physical infrastructure upgrades. We are seeking a technically proficient, pragmatic, and detail-oriented project manager to support this effort in direct support of the Key Office Supervisor and under the supervision of the Associate Director for Centrals Shops & Programs. A successful candidate will have proven technical experience.  A firm dedication to university values, collaborating with staff, customers and leadership is necessary.

Responsibilities*

Key Policy. Support development of a Campus Key and Access Control Policy.

  • Participate in the development of a Key and Access Control Policy with the goal of clarified responsibility, clear accountability and infrastructure standardization. 
  • Audit and minimize chains of responsibility (authorized key approvers). 
  • Provide recommendations to update F&O Service Guides, Master Specifications, and Design Guidelines to articulate key and access control standards for different types of facilities and spaces. 
  • Support access control and/or physical security working groups with university stakeholders (Division of Public Safety, Treasurer's Office, and various Auxiliary units.

Key Management Systems. Fully utilize electronic software and high security electronic key cabinets to modernize University key management.

  • Maximize SimpleK functionality and usage to include transition of master key systems, open key requisition records and authorized key approvers. 
  • Plan and support installation of electronic key management cabinets.

Key Shop Standard Operating Procedures. Modernize Key Shop customer service through key request and delivery methods.

  • Modernize the Key Request processes utilizing Computerized Maintenance Management Systems, The University Shared Portals, and Master Key System Software. 
  • Implement expediting policy and procedures to eliminate the need for a customer service window. 
  • Integrate the usage of SimpleK Key Management software in all relevant processes and procedures.

University Re-Key Program. Offer a program for Schools, Colleges, and Departments to understand current risk and improve access management.

  • Support education of facility managers on effective key and access management through outreach efforts. 
  • Conduct key building audits and make improvement recommendations. 
  • Support budgeting and programming through detailed project cost estimating.

Perform other duties as required to include, but not limited to:

  • Providing Key Office Supervision, in the absence of Key Office Supervisor. 
  • Providing Access Control support in the absence of the Access Control Program Manager.  

Required Qualifications*
  • High school diploma or equivalent
  • Experience with master key systems and key management software.
  • Considerable technical knowledge of key and access control industries and products.
  • Experience developing policy and governance standards for large institutions or industry.
  • Exceptional oral and written communication skills, with the ability to provide sample work.

Desired Qualifications*

Associate degree in related technical field or an equivalent amount of experience in access control, key management, and locksmithing.

Experience designing and implementing innovative processes or programs based on thorough needs assessments, collaboration with diverse stakeholders, and project milestone management.

Experience or knowledge of resourcing, budgeting and procurement processes and best practices.
