Kennedy Mountain Campus, announced in early October, will fully integrate the 4D Experience for DU students in a wilderness setting, with a particular emphasis on character and leadership exploration and enhancing well-being along social, spiritual, and physical pathways.

The new property, adjacent to Roosevelt National Forest Park, includes about 724 acres of rolling terrain with rock outcroppings and beautiful views of the Laramie Mountains to the west. Buildings include a dining hall, offices, health center, reception area, six large community cabins, four small homestead cabins, a recreation center, equestrian/riding center with classroom, two Via Ferrate courses, many miles of trails, multiple outdoor climbing areas, and a high and low ropes course. All the infrastructure is in place including fire suppression, wastewater, internet, and water storage.

Position Summary

The Kennedy Mountain Campus Assistant Director of Events, Summer Camps, and Operations position is located in Red Feather Lakes, CO and reports to the Director of Operations, Events, and Outreach. The Assistant Director is responsible for successfully managing Kennedy Mountain Campus events and summer camps, including daily operations, risk management, communication with clients and vendors, and the oversite of staff and participants. This position requires the ability to work flexible hours to include evenings, holidays, and weekends regularly.

Essential Functions

The following duties are customary for this position but are not to be construed as all inclusive. Duties may be added, deleted, and assigned based on management discretion and institutional needs.

Event Management

  • Oversee all aspects of events including initial consultation, requests, contract fulfillment, event coordination, staff coordination, on-site assistance, final invoice preparation and account closing.
  • Deliver quality facilities, events, and guest experiences by ensuring facilities are cleaned and prepared, securing transportation, preparing food and beverage service, providing safe equipment, providing audio/visual technology, etc.
  • Examine the total plans for the event to determine what is needed and anticipate or identify needs the client might not have expressed.
  • Maintain vendor communication and partnerships to maximize event resources and ensure accurate quotes, contracts, and invoices.
  • Communicate regularly through multiple methods with clients, partners, and vendors to confirm event schedules and organization.
  • Assist with the creation and coordination of marketing and communications materials for Kennedy Mountain Campus promotions, events, webpage, social media, and membership programs.

Summer Camp Management

  • Oversees KMC summer camps and summer camp rental program.
  • Responsible for the care, safety, protection and supervision of the camp environments, staff, and participants.
  • Knowledge of camp policies, rules, guidelines as well as general practices and procedures followed in the State of Colorado and at the University of Denver.
  • Develop, plan, prepare and implement KMC summer camp schedule and daily activities to include correct staff to participant ratio.
  • Handles questions, problems, and concerns of parents/guardians, clients, and/or participants before and during camp.
  • Complete and/oversee the completion of essential camp documents and procedures including but not limited to; hiring processes, participant sign in/out, participant medication distribution and tracking, sunscreen checks, accident/incident forms, etc.
  • Establish procedures for handling all difficulties related to health, behavior and other problems and complete incident reports.
  • Observe the peer culture and participant behavior to see if there are any problems and implement solutions as necessary.

Staff & Vendor Management

  • Recruit, hire train, schedule, and coach full-time, part time, and seasonal operations and camp staff.
  • Provide management and supervision of vendors and operations and camp staff.
  • Administers and schedules staff training as well as regular meetings with staff and vendors.
  • Works closely and cooperatively with all staff members and vendors.
  • Develop standard operating procedures, checklists, and guidelines for both staff and vendors.
  • Promote workplace performance and conduct performance reviews.

Systems Management

  • Develop and manage KMC event budget, individual event budgets, and summer camp budget.
  • Maintain the Kennedy Mountain Campus calendar and schedules for guests and University of Denver stakeholders to avoid conflicts.
  • Create and execute event order confirmations, use agreements, registration forms, confirmation processes, requests for modifications, and invoices.
  • Produces forms, letters and pertinent documents needed for the implementation of events and summer camp.
  • Input, monitor, maintain, and evaluate registration in the event management systems.
  • Monitor processes, protocol, policies, procedures, and evaluation standards to enhance KMC events and programs.
  • Generate event and summer camp reports for assessment, optimization, and decision-making purposes.
  • Solicit feedback on events and summer camps from clients, guests, and participants to improve services.
  • Collaborate with university business operations to collect and process insurance, deposits, invoices, and agreements.

Risk Management

  • Responsible for risk management protocol implementation for each event and summer camp program.
  • Take appropriate actions and make immediate decisions on how to resolve problems when changes arise (such as inclement weather, vendor cancellations or challenges, etc.).
  • Proactively identify and provide resolution to issues related to the collaborative function of teams, the safety and overall experience of guests and participants.
  • Complete all injury and accident reports for every incident in a timely manner.

Required Qualifications

  • Bachelors degree from a four-year university or college in outdoor recreation, youth development, hospitality, tourism management, event management, child psychology, or related degree
  • Two years of related experience in event management, summer camp operations, or outdoor recreation
  • Training and experience in working with children, teens, and young adults
  • Willingness and ability to work weekends, early mornings, and evening hours for onsite event coordination

Preferred Qualifications

  • Masters degree in outdoor recreation, hospitality, tourism management, and/or child phycology, or related degree
  • Five years of related experience in event management or outdoor recreation
  • Five years of related experience in summer camp management
  • Wilderness First Responder certification

Working Environment

  • Outdoors in all weather conditions and varying terrain
  • Requires regular travel
  • Works regularly on nights, weekends, and holidays
  • The noise level is quiet to moderate

Physical Activities

  • Required to move about the office/campus with the capability of transporting objects up to 50 lbs. with assistance

Work Schedule
37.5 hours/wk-Flexible hours to include nights, weekends, and holidays regularly. Requires regular travel.

Salary Grade Number:
The salary grade for the position is 9.

Salary Range:
The salary range for this position is $60,000-$70,000.
